Full Job Description Now Hiring:
Administrative Intake Manager Durable Medical Equipment (DME) Lead. Organize. Improve. Make a Difference. Coastal Medical is seeking an experienced Administrative Intake Manager to lead our Intake Department in a fast-paced Durable Medical Equipment (DME) organization. This is an excellent opportunity for a motivated healthcare leader who thrives on improving processes, developing teams, and ensuring patients receive timely, high-quality service. As the Administrative Intake Manager, you will oversee the daily operations of the intake department, ensuring referrals are processed accurately, efficiently, and in compliance with payer, regulatory, and accreditation requirements. Key Responsibilities Lead and supervise the Intake Department, providing coaching, mentoring, and performance management. Manage daily workflow to ensure timely processing of referrals and physician orders. Monitor department productivity, quality metrics, and turnaround times. Coordinate with physicians, hospitals, case managers, insurance companies, and internal departments. Ensure accurate insurance verification, authorization, and documentation requirements are met. Develop and implement workflow improvements to increase efficiency and reduce delays. Analyze reports and KPIs to identify trends and opportunities for improvement. Resolve escalated patient, referral source, and payer concerns professionally. Ensure compliance with Medicare, Medicaid, commercial payer guidelines, and accreditation standards. Train new employees and maintain departmental policies and procedures. Collaborate with leadership to achieve operational and financial goals. Qualifications Minimum 3-5 years of leadership experience in healthcare administration. Previous experience in Durable Medical Equipment (DME) preferred.
Strong understanding of:
Insurance verification Prior authorizations Medicare and Medicaid guidelines Medical documentation requirements Exceptional organizational and time-management skills. Proven ability to lead, motivate, and develop high-performing teams. Strong analytical and problem-solving abilities. Excellent verbal and written communication skills. Proficient with Microsoft Office (Excel, Word, Outlook) and electronic medical record or DME software systems. Preferred Experience CRT, Respiratory, Enteral Nutrition, Urology, Incontinence, or other DME product lines Brightree or similar DME management software Lean process improvement or workflow optimization KPI reporting and operational analytics What We're Looking For The ideal candidate is: A strong leader who holds themselves and their team accountable.
