Job Summary
PATIENT EXPERIENCE COORDINATOR
Onyx Aesthetics | McAllen, TX Onyx Aesthetics is seeking a professional, personable, and highly organized Patient Experience Coordinator to join our team. As one of the first points of contact for our patients, this role is essential to creating the welcoming, professional, and elevated experience we expect at Onyx. This position goes beyond traditional front desk responsibilities, we are looking for someone who can confidently communicate with patients, manage a busy schedule, support our medical providers, and help patients navigate the services we offer. Responsibilities Welcome and check in patients while providing an exceptional experience from arrival through checkout Manage incoming phone calls, texts, appointment requests, and patient inquiries Schedule, confirm, reschedule, and coordinate patient appointments Provide general information regarding treatments, services, pricing, memberships, and current promotions within the scope of the role Assist with converting new patient inquiries into scheduled consultations and appointments Collect payments and assist patients during checkout Maintain accurate patient demographics, documentation, and scheduling information Coordinate communication between patients, providers, and team members Assist with patient forms, consents, and other required administrative documentation Maintain patient privacy and confidentiality in accordance with practice policies and HIPAA requirements Assist with follow-up communication and outstanding patient inquiries Maintain an organized, clean, and professional reception area Support daily administrative and operational needs of the practice Qualifications Previous experience in a medical office, medical aesthetics practice, healthcare setting, or other patient-facing role preferred Strong customer service and hospitality skills Excellent verbal and written communication Professional and polished demeanor Highly organized with excellent attention to detail Comfortable managing multiple responsibilities in a fast-paced environment Confident speaking with patients about services, scheduling, pricing, and promotions Comfortable with patient scheduling, electronic medical records, payment systems, and learning new software Dependable, punctual, proactive, and able to work well as part of a team Understanding of patient confidentiality and professional boundaries Who We're Looking For We want someone who genuinely understands the importance of the patient experience . Our Patient Experience Coordinator is often a patient's first interaction with Onyx and their last interaction before leaving , and we want both to reflect the level of care and professionalism we expect throughout our practice.
