Job Description

Job Summary We are seeking a dynamic and compassionate Cosmetic Surgery Patient Coordinator to join our vibrant team. In this pivotal role, you will serve as the primary point of contact for patients, guiding them seamlessly through their aesthetic journey. Your energetic approach will ensure exceptional patient service, accurate documentation, and efficient coordination of appointments and procedures. Responsibilities Greet patients warmly and provide outstanding front desk support, including scheduling appointments and managing multi-line phone systems with professionalism and enthusiasm. Verify insurance coverage, perform insurance authorization, and conduct insurance verification using systems such as Epic, Meditech, Athenahealth, or eClinicalWorks. Assist patients with intake procedures, gather medical histories, and review documentation to ensure completeness and accuracy. Maintain detailed medical records, including documentation review, CPT coding, ICD-9/10 coding, and billing information in compliance with HIPAA regulations. Coordinate with clinical staff to schedule procedures, prepare patient care plans, and facilitate smooth clinic operations utilizing EMR systems like Epic or Dentrix. Manage medical collection processes and ensure timely follow-up on outstanding balances while maintaining excellent customer service standards. Support administrative tasks such as filing, data entry using Microsoft Office tools, and managing electronic health records (EHR) systems efficiently. Uphold confidentiality and security of patient information in accordance with HIPAA guidelines while providing bilingual support if applicable. Experience Prior clinic or medical office or sales experience with a strong background in cosmetic administrative support or medical receptionist roles. Demonstrated proficiency with EMR systems such as symplast, Meditech, Athenahealth, eClinicalWorks, or similar platforms. Knowledge of medical terminology, CPT coding, ICD-9/10 coding, and medical billing practices related to cosmetic surgery or dental clinics is highly desirable. Excellent computer skills including Microsoft Office Suite (Word, Excel), multi-line phone systems, and typing skills (10-key preferred). Strong customer service skills combined with professional phone etiquette and office management capabilities. Bilingual abilities are a plus to effectively communicate with diverse patient populations.
