Job Description

As an intake coordinator you will usually be the first contact point our clients have. This is very important to make a great first impression as our goal is to help our clients feel that therapy is a treat (like any good self care) and something they look forward to. We know that therapy is not always rainbows and butterflies, but with our positive and hope inspiring team, non judgmental support, and genuine care for our clients success they begin to look at the experience in a different light than before. In short, we want to take away the negative stigma attached to mental health therapy and put the "TREAT" back in treatment.
Job Summary:
In person admin/Intake specialists will be responsible for various administrative tasks, sales processes, organization and much more. Many of these tasks include, but are not limited to: 1.
Field Intake Calls:
Answer and manage incoming phone calls, messages and emails from current and potential clients, provide information and assistance, and schedule appointments. Listen and match clients concerns with capable therapists that best fit their needs Willingness to learn sales skills for strong communication. This is not hard sales ("used car' type of sales), but we do not want to be simple order takers. We are looking for that extra level of care and willingness to truly find out how to best help the client and then lead them to the answer and solutions that will help them most. Collect new client documents 2.
Client Relations:
Interact with clients in a professional and empathetic manner, addressing their needs and concerns. Manage appointment scheduling and rescheduling, ensuring smooth transitions and resolving any scheduling conflicts. 3.
Office oversight:
Maintain inventory of office supplies, order new supplies as needed, and ensure the office is well-equipped for daily operations. 7.
Relay Between Departments:
Working with our billing specialist and aiding in monitoring clients billing information is up to date. Communicating with clients when bills are past due or payment methods are invalid. Communicate with clinicians to manage their schedules and monitor case loads. 7.
File Maintenance:
Organize and maintain client and therapist files in a secure and confidential manner. Learning and utilizing our customer management software and procedures to ensure follow up, contact and records are managed. 8. Other various responsibilities needed by staff or management at any given time: Help with marketing efforts Helping with errands for owners
Qualifications:
High school diploma or equivalent Previous experience in office management, sales, administration, or a similar role. Computer skills including proficiency in using online software (Google Drive), Sheets, Docs, etc. Ability to learn quickly and retain information Ability to organize and remember a lot of details in different processes and procedures Strong organizational, communication, and sales skills Ability to self motivate and work as part of a team Attitude to be of service, to clients, and teammates. Respect for patient confidentiality and adherence to ethical standards. Knowledge of mental health terminology and procedures is a plus.
