Job Description
Position Summary The Front Desk staff is the first point of contact for patients at The Bendavid Clinic and plays a vital role in creating a welcoming, organized, and efficient patient experience. This position is responsible for patient intake, front desk operations, scheduling coordination, administrative support, and communication with patients, providers, insurance teams, and outside healthcare organizations. Ideal candidates are highly organized, detail-oriented, comfortable multitasking in a fast-paced environment, and interested in healthcare or pursuing a future in the medical field. Role & Responsibilities Patient Experience Welcome and greet all patients and visitors in person, by phone, or electronically with professionalism and warmth. Manage patient check-in and check-out processes efficiently. Update patient demographics including address, phone number, insurance information, and Purchased/Referred Care eligibility status. Enter and maintain accurate patient information within the Electronic Health Record (EHR) / health management system. Facilitate patient flow by notifying providers of arrivals, communicating delays, and coordinating with clinical staff. Respond to patient and visitor inquiries courteously while maintaining confidentiality. Schedule appointments, manage provider calendars, and assist with follow-up communications. Maintain HIPAA compliance at all times, protecting sensitive patient information and confirming identity before discussing account details. Office Administration & Operations Maintain an overall understanding of health insurance terminology and processes, including co-pays, eligibility, and covered services (training available for the right candidate). Coordinate daily with the insurance team regarding patient accounts and billing-related questions. Communicate with outside healthcare organizations, pharmacies, labs, and medical offices to obtain records, clarify care needs, and follow up on patient matters. Review incoming documentation, interpret next steps when appropriate, and escalate questions to providers or management. Keep the reception area and front office clean, organized, and welcoming. Maintain accurate filing systems, labeling, scanning, and record management. Check voicemail regularly and update phone greetings for holidays, meetings, or schedule changes. Update provider schedules in the EHR system. Fax prescriptions, copy records, scan documents, and provide general administrative support as needed. Inventory & Clinical Support Monitor and maintain office, medical, and lab supply inventory. Place orders for front office, clinical, and laboratory materials as needed. Assist with packaging outgoing lab specimens and materials in accordance with safety and clinic protocols. Support smooth daily clinic operations through proactive organization and readiness. Required Knowledge, Skills & Abilities Excellent multitasking skills with strong attention to detail. Highly organized with strong systems for filing, labeling, and prioritizing tasks. Previous receptionist, administrative, customer service, or medical office experience preferred. Comfort learning and navigating an Electronic Health Record (EHR) system. Strong communication skills via phone, email, and in person. Professional, compassionate demeanor with excellent customer service skills. Ability to maintain confidentiality and exercise discretion. Comfort working in a medical environment and handling clinical/lab materials when needed. Basic proficiency with Microsoft Word, Excel, and standard office technology. Interest in healthcare, medicine, or patient services strongly encouraged. Compensation & Benefits $25/hour — compensation is negotiable for exceptional candidates. This is a 40% part-time, hourly position averaging approximately 2 days per week over the year, with certain weeks requiring additional days for coverage and support.
