Dental Office Manager / Patient Care Coordinator Smile Source Spokane | Spokane Valley, WA Full-Time | Leadership + Patient Care | Dental Experience Required Are you an experienced dental professional who can lead a team, keep an office running smoothly, and create an exceptional patient experience? Smile Source Spokane is looking for a confident, organized, and compassionate Dental Office Manager / Patient Care Coordinator to join our team. This is a key leadership position for someone who enjoys both managing the business side of dentistry and building meaningful relationships with patients. WHAT YOU'LL DO
Office Management & Leadership Oversee the daily operations of the dental office. Lead, coach, and support the front office and clinical team. Maintain accountability for office goals, performance, and patient experience. Monitor schedules and ensure the practice is operating efficiently. Identify opportunities to improve systems, workflows, and profitability. Assist with staff scheduling, timekeeping, and daily coverage. Help create a positive, accountable, and team-oriented culture. Ensure office policies, procedures, HIPAA, OSHA, and compliance standards are followed. Patient Care Coordination Manage and optimize the patient schedule to maximize productivity while maintaining an excellent patient experience. Welcome patients and create a warm, professional first impression. Coordinate new patient appointments and follow-up care. Communicate treatment plans, fees, insurance information, and financing options. Help patients understand their recommended treatment and confidently move forward with care. Follow up on unscheduled treatment and overdue appointments. Build strong, long-term relationships with patients. Financial & Administrative Responsibilities Understand dental insurance, benefits, eligibility, and patient financial responsibility. Oversee accurate insurance verification and claims processes. Monitor accounts receivable and assist with outstanding patient balances. Ensure accurate posting of payments and production. Assist with treatment acceptance and financial arrangements. Run and review practice reports and key performance indicators. Work with leadership to identify opportunities for improved collections and profitability.
WHAT WE'RE LOOKING FOR
We're looking for someone who is: Experienced in dental front office operations and management Comfortable in a leadership role Knowledgeable in dental insurance and revenue cycle management Experienced with scheduling and treatment coordination Confident discussing treatment and finances with patients Highly organized and excellent at follow-through Comfortable holding team members accountable while maintaining a positive culture A strong communicator who can work effectively with doctors, clinical team members, and patients Professional, dependable, and solution-oriented Someone who takes ownership rather than waiting to be told what needs to be done
REQUIRED
Previous dental office experience Dentrix experience Previous leadership or office management experience preferred Strong understanding of dental terminology, insurance, and treatment coordination Excellent customer service and communication skills Ability to multitask in a fast-paced dental environment
