Job Description

Clinical Program Manager (ABA Services) Innovative Counseling, Inc. Innovative Counseling Inc. is a community Mental Health Clinic, providing outpatient therapy, psychiatric medication management, and in-home psychotherapy and autism treatment. Innovative Counseling Inc. has been serving the greater Green Bay area and surrounding communities since 2001. Position Summary The Clinical Program Manager is responsible for the real-time execution of clinical services and the direct oversight of the therapy team. This role ensures that behavior plans are implemented with high fidelity and that the clinic floor runs safely and efficiently. By bridging clinical leadership and staff performance, the Program Manager maintains the daily rhythm of client care and staff accountability.
Key Responsibilities Weekly Clinical Scheduling & Daily Logistics Weekly Schedule Creation:
Responsible for the weekly development and posting of staff and client schedules. This requires utilizing internal scheduling tools alongside deep clinical insight into client behavioral needs and staff competencies to ensure appropriate pairing and session safety.
Daily Logistics & Adjustments:
Manage real-time reassignments for staff call-ins or client cancellations, ensuring that clinical coverage remains consistent and maximized throughout the day.
Capacity Monitoring:
Track staffing availability in real time to support the intake process and ensure the clinic meets authorized service hours for new and existing families.
Clinical Floor Management & Support Direct Floor Oversight:
Provide active, real-time supervision and support during high-need behavioral situations; step into direct service or session coverage when necessary to maintain safety and continuity.
Treatment Fidelity:
Work alongside BCBAs to ensure that all therapists are accurately and consistently following individual behavior intervention strategies.
Session Quality:
Monitor ongoing sessions to ensure a high standard of clinical care and immediate intervention if quality wavers.
Staff Supervision & Clinical Mentorship Team Development:
Conduct regular performance check-ins and provide immediate, actionable feedback to therapists regarding their clinical skills and professionalism.
Competency Training:
Facilitate ongoing skill development and mentorship to ensure staff remain confident and effective in their direct client work.
Staff Accountability:
Manage staff performance standards and professional conduct on the floor, including the delegation of clinical support tasks.
Clinical Compliance & Care Coordination Documentation Oversight:
Ensure that daily clinical notes and data collection meet all professional and Medicaid requirements for accuracy and timeliness.
Care Communication:
Facilitate professional communication between families, therapists, and BCBAs to ensure treatment goals are being met and family guidance is consistent.
Team Meetings:
Lead and participate in clinical team meetings to ensure seamless continuity of care for every client.
Hiring & Clinical Onboarding Recruitment:
Review resumes and monitor hiring platforms to identify candidates with the necessary clinical potential.
Interviewing & Selection:
Schedule and participate in interviews, providing clinical assessment of candidates to assist in hiring decisions.
Clinical Onboarding:
Coordinate the transition of new hires from orientation to active caseloads, ensuring they are competent in implementing client-specific programming.
Qualifications Education:
Bachelor's degree in Psychology, ABA, Education, or a related field (Required).
Experience:
Significant experience in direct ABA service delivery (RBT or equivalent required).
Clinical Insight:
Deep understanding of behavior intervention principles and the ability to troubleshoot clinical challenges on the fly.
Leadership:
Proven ability to lead a team and manage complex logistics in a high-demand clinical setting.
Technical Proficiency:
Ability to effectively utilize Google Workspace and internal scheduling/tracking programs.
