The Dental Coordinator, Clinic Operations provides comprehensive administrative and operational support for graduate, predoctoral, and specialty dental clinics. The position serves as the primary administrative liaison for patients, students, residents, faculty, and staff while coordinating daily clinic operations, patient scheduling, provider schedules, clinical workflows, and business operations. Responsibilities may include support of school-wide clinical initiatives, specialty programs, multidisciplinary scheduling, cross-clinic coverage, workflow improvement projects, and other operational assignments based on departmental and organizational needs. Duties and Responsibilities 1. Coordinate daily clinical operations including patient scheduling, provider schedules, resident and faculty assignments, multidisciplinary treatment planning, specialty referrals, surgical scheduling, clinic calendars, and workflow coordination. Monitor clinic capacity, optimize provider utilization, identify scheduling conflicts, and implement solutions to support efficient patient care, clinic efficiency, and business operations. 2. Serve as the primary administrative liaison for patients, students, residents, faculty, referring offices, external providers, and school departments. Respond to inquiries, resolve scheduling conflicts, address patient concerns, coordinate communications, and provide exceptional customer service while exercising professionalism, discretion, and sound judgment. 3. Utilize axiUm and other applicable systems to coordinate appointments, patient records, referrals, treatment plans, clinical documentation, scheduling templates, provider schedules, reports, insurance documentation, and data integrity. Maintain accurate records while ensuring compliance with university policies and regulatory requirements. 4. Provide administrative and operational support for faculty, residents, students, departmental leadership, and assigned clinics. Prepare reports, correspondence, schedules, meeting materials, spreadsheets, and other operational documents. Coordinate special projects, faculty schedules, resident rotations, educational activities, and operational initiatives as assigned. 5. Provide administrative guidance and support to students, residents, and faculty regarding clinic procedures, patient assignments, scheduling protocols, referrals, operational workflows, and departmental processes. Facilitate communication between departments to support continuity of patient care. 6. Monitor patient treatment progression, pending referrals, recall activities, scheduling backlogs, provider productivity, clinic utilization, cancellations, and waitlists. Identify workflow issues and collaborate with leadership to implement process improvements that enhance operational efficiency and patient access. 7. Generate scheduling reports, productivity/financial metrics, operational audits, and other data requested by manager. Assist with process improvement initiatives, workflow standardization, onboarding activities, cross-training, and implementation of operational changes that improve clinic efficiency and consistency. 8. Provide operational support across graduate, specialty, and predoctoral clinics based on business operation needs. During periods of reduced workload within the assigned clinic, staffing shortages, operational demands, or other management-directed circumstances, provide administrative coverage and workflow support in other clinic areas to promote continuity of operations, efficient patient care, and effective business operations. 9. Ensure compliance with HIPAA, OSHA, university policies, accreditation standards, departmental procedures, patient confidentiality requirements, and applicable federal, state, and institutional regulations. 10. Perform other related duties, special projects, and operational assignments as required to support efficient clinic operations and evolving departmental and organizational business needs. Required Knowledge, Skills and Abilities Requires High School diploma or GED.Meets one of the following:
2 years minimum dental office experience including receptionist duties 2 years experience in dental insurance processing 2 years relevant experience as determined by Director/Coordinator of Clinical Operations Must possess excellent oral/written communication skills, courteous demeanor, attention to detail, flexibility, ability to work and communicate with people from a diverse population and the ability to work independently with little supervision and constant interruptions in an environment that can be stressful at times. While performing the duties of this job, the employee is regularly required to sit or stand (for potentially prolonged periods of time); walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch; and talk or hear. The employee must occasionally lift and/or move up to 50 pounds; ability to access/retrieve and transport patient records throughout the clinic is required. Oral and written communications with patients and students requires adequate speech, vision, and hearing. Proficiency in English is required. Proficiency in other languages may be required. Constant use of a telephone and computer terminal. Also requires adequate hand writing and manual dexterity skills.
