I. JOB OVERVIEW
Job Description Summary:
Milken Institute School of Public Health (GWSPH) is committed to excellence in scholarship to advance the health of the populations of our local, national, and global communities. The vision of the Department of Biostatistics and Bioinformatics is to improve public health through excellence in education and teaching in biostatistics and bioinformatics, transformative scientific research, and dedicated service to the university, profession and community. Reporting to the department's Fiscal Manager, the Administrative Associate will be responsible for the following: Providing enhanced administrative support to the Fiscal Manager, Program Manager and department. Overseeing the customer service efforts of the front desk, to include referring constituents and resolving concerns as appropriate. Anticipating and initiating supplies for SEH 7th floor, departmental and professional development purchases, and maintaining/reconciling purchases against p-card statements. Typically plans, prioritizes, and manages maintenance and space activities and upgrades to equipment, facilities, and systems to minimize disruptions to business activities, and under the guidance of the Fiscal Manager. Assisting department faculty with travel and other business expense reports for the department. Coordinating the schedules and maintaining calendar(s) as assigned, regularly prioritizing and arranging meetings, conferences and appointments. Preparing agenda and maintaining minutes (recordings) of monthly departmental faculty meetings. Working with SPH IT (web support) to manage the department's webpage(s). Working with the Fiscal Manager and departmental leaders to ensure office administration policies, programs, and activities are appropriate for their needs. Assisting the Program Manager with support of educational activities and coordination of the course schedule three times each academic year. Coordinating and compiling information for open houses, new student orientation, and departmental information sessions. Assisting Faculty and Program Manager with textbook adoption requests, scheduling classrooms, and classroom technology requests. Assisting the Fiscal Manager with tracking and processing hires of graduate assistants, new Distance Education courses break out leaders, instructional assistants, and limited-service faculty (TPT) appointments. Assisting the Program Manager and Program Directors as needed. Performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
