Duties Manage incoming calls using multi-line phone systems with professionalism and courtesy, providing excellent customer support and information. Greet visitors and clients at the front desk, creating a positive first impression and directing them appropriately. Maintain accurate records through data entry, filing, and document proofreading to ensure all client and employee information is up-to-date and organized. Schedule appointments, manage calendars, and coordinate caregiver assignments using office management software and Google Workspace tools. Support office management by overseeing supply inventory, organizing files, and ensuring the office environment remains efficient and welcoming. Assist with personal assistant duties such as calendar management, email correspondence, and task prioritization to keep daily operations running smoothly. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, communication, and collaboration. Strong organizational skills with the ability to multitask effectively in a fast-paced environment. Excellent phone etiquette with experience managing multi-line phone systems and providing top-tier customer service. Bilingual abilities are highly valued to assist diverse client populations effectively. Office management experience combined with clerical skills such as filing, proofreading, data entry, and calendar management. Knowledge of bookkeeping software like QuickBooks for accurate financial recordkeeping. Demonstrated computer literacy including typing speed and familiarity with office equipment. Exceptional time management skills with the ability to prioritize tasks efficiently. Personal assistant experience or administrative background that emphasizes professionalism and attention to detail.
