Overview Join our dynamic healthcare team as an Administrative Assistant dedicated to supporting health services exceptional office management and customer service. This vital role combines clerical expertise, organizational skills, and a compassionate approach to ensure smooth daily operations. You will be the first point of contact for for our team and manage scheduling, handle administrative tasks, and contribute to creating a welcoming and efficient healthcare setting. Duties Greet visitors warmly at the front desk, providing excellent customer service and maintaining a professional demeanor. Manage multi-line phone systems, answer inquiries promptly, and direct calls appropriately using proper phone etiquette. Schedule appointments efficiently using calendar management tools and coordinate with healthcare providers to optimize daily workflows. Perform data entry and maintain accurate patient records using electronic health record (EHR) systems, ensuring confidentiality and compliance. Organize files, process paperwork, proofread documents for accuracy, and ensure all administrative materials are up-to-date. Support office management by overseeing supply inventory, maintaining cleanliness of the reception area, and assisting with clerical duties such as filing and document organization. Requirements Proven office experience with strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools. Experience with multi-line phone systems, data entry, filing, and general clerical tasks. Excellent customer service skills with professional phone etiquette and interpersonal communication abilities. Ability to manage calendars efficiently and prioritize tasks effectively in a busy healthcare environment. Bilingual capabilities are preferred to support diverse patient needs. Demonstrated time management skills with the ability to handle multiple responsibilities simultaneously while maintaining accuracy.
