This position involves a variety of clinical and administrative responsibilities to assist in delivering comprehensive, patient-centered care to individuals and families across all age groups. Key duties include preparing patients for examinations, assisting with procedures, managing medical records, coordinating referrals to specialists or external services, and helping maintain an efficient and welcoming clinic environment. Prepare patients for examinations and procedures by measuring and documenting vital signs, reviewing the chief complaint, and ensuring the patient is comfortable and informed Obtain, verify, and document comprehensive medical, surgical, and social histories; accurately update patient records in the Electronic Health Record (EHR) system Facilitate and process provider-ordered labs, immunizations, imaging, and other diagnostic studies in accordance with clinical protocols and standing orders Provide clear, compassionate explanations of treatment procedures, medications, and follow-up care instructions to patients and families Assist healthcare providers during physical exams, in-office procedures, and minor surgeries, ensuring proper setup, documentation, and patient support throughout Collect, label, and process laboratory specimens (e.g., blood, urine, swabs) following chain-of-custody protocols and infection control standards Perform basic diagnostic tests including electrocardiograms (EKGs), vision and hearing screenings, and treadmill stress tests, documenting and reporting results as appropriate Administer medications, vaccines, and injections under provider orders, monitoring for adverse reactions and documenting administration accurately Maintain clean, well-organized, and fully stocked exam rooms and supply areas; ensure proper sterilization and maintenance of medical instruments and equipment in compliance with infection control policies Support clinical quality improvement efforts, such as preventive care reminders, chronic disease monitoring, and patient education initiatives Respond to patient inquiries related to clinical care and escalate concerns to providers as needed Uphold patient confidentiality, HIPAA compliance, and a culture of safety and respect in all clinical interactions Perform other related clinical tasks and responsibilities as assigned by providers or clinic management to support overall patient care and clinic operations Greet patients in a courteous and professional manner; verify demographic and insurance information at check-in to ensure accurate billing and recordkeeping Schedule, confirm, reschedule, and cancel patient appointments using electronic scheduling systems while optimizing provider schedules and minimizing wait times Answer incoming phone calls, respond to patient inquiries, relay messages to providers and staff, and assist with triaging calls based on urgency Maintain and update patient records in the Electronic Health Record (EHR) system, ensuring accuracy, completeness, and timely documentation Process referrals to specialists, imaging centers, and other healthcare services; track referral status and follow up as needed to ensure continuity of care Coordinate prior authorizations for medications, diagnostic tests, and procedures with insurance companies as required Collect and post payments, issue receipts, and reconcile daily transactions in accordance with clinic policies Assist with managing incoming and outgoing correspondence, including faxes, lab results, patient forms, and other clinical documentation Prepare and manage medical forms and documents, such as disability paperwork, immunization records, and patient education materials Support inventory control by monitoring administrative and medical supply levels and assisting with ordering as needed Participate in maintaining compliance with regulatory standards (HIPAA, OSHA, etc.) and support internal audits and quality assurance efforts Collaborate with the clinical and administrative team to support daily clinic flow and provide a positive patient experience Assist with other administrative tasks and projects assigned to ensure the smooth and efficient functioning of the clinic
