Medical Administrative Assistant Job Summary The Medical Administrative Assistant provides administrative and clerical support to healthcare providers, ensuring efficient day-to-day operations within a medical office or healthcare facility. This role is responsible for managing patient communications, scheduling appointments, maintaining records, and supporting clinical staff to deliver high-quality patient care. Key Responsibilities Greet and check in patients in a professional and courteous manner Schedule, confirm, and manage patient appointments Answer and manage incoming phone calls, emails, and other communications Maintain accurate and up-to-date patient records in electronic medical record (EMR) systems Verify patient insurance information and process billing or referrals as needed Prepare and organize documentation for patient visits, procedures, and follow-ups Assist with patient intake, including collecting medical history and required forms Coordinate communication between patients, providers, and external healthcare partners Ensure compliance with healthcare regulations, privacy laws (e.g., HIPAA), and office policies Support general administrative tasks such as filing, faxing, and data entry Qualifications & Skills High school diploma or equivalent (associate degree or certification in medical administration preferred) Previous administrative or healthcare experience preferred Familiarity with medical terminology and healthcare processes Proficiency in Microsoft Office and electronic medical record (EMR) systems Strong organizational and multitasking skills Excellent verbal and written communication skills Attention to detail and accuracy Ability to handle sensitive information with confidentiality Preferred Competencies Patient-focused with strong interpersonal skills Ability to work effectively in a fast-paced healthcare environment Problem-solving mindset and ability to prioritize tasks Team-oriented with a professional and empathetic demeanor Work Environment Medical office, clinic, hospital, or outpatient facility May require extended hours, weekends, or shifts depending on the setting Fast-paced, patient-centered environment All qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
