The Assistant Director, Academic Support Services provides strategic and operational leadership for academic administration, assessment, and data management in support of the medical education program. This role oversees daily operations of courses, clerkships, and the Testing Center; establishes and enforces standardized policies, procedures, and workflows; and ensures staff readiness through hiring, training, supervision, and performance management. The position directs all assessment and evaluation processes, including exam administration, grade management, evaluations, remediation, and integration of academic data across institutional systems. In collaboration with college leadership, the Assistant Director supports budget planning, delivers comprehensive reporting and analytics for decision-making, committees, and accreditation, and ensures data integrity and compliance with programmatic and accreditation requirements. About This Role Program Operations and Administration Provide administrative leadership for daily operations of academic support services, establishing and communicating standardized processes that ensure consistent support for the medical education program and ability to solve complex problems and propose resolutions. Oversee course and clerkship operations, including syllabi standards, LMS structure, workflow expectations, and performance monitoring of course/clerkship management staff. Provide administrative oversight of the Testing Center to ensure reliable exam delivery and alignment with program needs and student requirements. Develop, implement, and enforce policies, procedures, and productivity standards in collaboration with COM leadership. Ensure staff readiness through recruitment, orientation, training, coaching, and performance evaluation. Assist Medical Education leadership with annual budget preparation, monitor expenditures, and assess variances. Assessment, Evaluation and Academic Data Management Direct creation and maintenance of grade books, portfolios, and assessment structures for all courses and clerkships. Manage setup and execution of exams, quizzes, and assignments, ensuring accuracy and adherence to program requirements. Design and implement strategies for collecting course, faculty, graduate, and COM surveys. Supervise student, faculty, and course evaluations and supports proper setup, tracking, and reporting of evaluation data. Oversee all medical student grade processes, including registration verification, communication of deadlines, grade verification, remediation, and submission to the Registrar. • Ensure accurate integration of academic data across COM and UF systems. Reporting, Analytics and Accreditation Support Generate, analyze, and present academic data to support COM leadership, academic committees, and program evaluation needs. Assist the Deans of Medical Education and Program Evaluation and Student Assessment in gathering and interpreting data for decision-making. Provide standardized and ad hoc reports for course/clerkship directors, research needs, and accreditation documentation. Ensure data management practices align with accreditation requirements for timely reporting. $70,000 - $80,000 annuallyREQUIRED QUALIFICATIONS
Master's degree in an appropriate area of specialization and two years of relevant experience; or a bachelor's degree in an appropriate area of specialization and four years of relevant experience.PREFERRED
The ideal candidate will possess: Master's degree in education, higher education administration, learning sciences, data management, or a related field. Minimum of four years of experience in medical education or health sciences academic administration. Knowledge of accreditation standards. Experience supervising staff and managing academic operations. Proficiency with learning management systems, dashboards, assessment platforms, and/or student information systems.
