Job Description

Overview Join our dynamic team as a Medical Administrative Assistant and become a vital part of delivering exceptional care to the individuals that we serve. In this energetic role, you will provide comprehensive administrative support within a busy environment, ensuring smooth scheduling, transportation to medical office visits, accurate documentation, and seamless communication between individuals, and healthcare providers. Your proactive approach and attention to detail will help foster a welcoming atmosphere while maintaining the highest standards of health information management and compliance with HIPAA regulations. This position offers an exciting opportunity to develop and/or use your skills in medical office management and contribute directly to our individuals well-being. We serve Responsibilities Manage appointment scheduling using various EMR (Electronic Medical Record) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, and others to optimize provider calendars. Verify insurance coverage, perform insurance verification, and facilitate medical billing processes including CPT coding, ICD-9/10 coding, and Medicare claims. Assist with patient intake procedures by collecting medical histories, updating records, and reviewing documentation for accuracy and completeness. Handle front desk duties including greeting patients, answering multi-line phone systems with professional phone etiquette, and managing patient inquiries efficiently. Maintain accurate medical records by filing documents, reviewing care plans, and ensuring compliance with HIPAA standards for health information management. Support clinical staff by coordinating medical scheduling, appointment reminders, and managing electronic health records (EHR) systems such as Meditech or Dentrix. Perform clerical tasks such as typing reports, data entry using 10-key typing skills, filing paper charts or digital records, and supporting office management activities. Requirements Proven experience in a medical office environment with familiarity in medical administrative support roles such as medical receptionist or front desk clerk. Strong knowledge of medical terminology. Experience working with EMR/EHR systems including Epic, this is preferred. Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel), along with familiarity with office equipment like multi-line phones and fax machines. Ability to communicate effectively with individuals and staff in a professional manner. Attention to detail for documentation review and accuracy in medical coding; understanding of HIPAA regulations is essential. Strong organizational skills with the ability to multitask efficiently in at times can be a fast-paced setting. Previous clinical and office experience is advantageous.
