We're excited to be opening a brand-new office in Weymouth and are looking for a dedicated team member to help us launch this location successfully. Prior to the office opening, candidates must be willing to complete training at other nearby sites. About the Role As a Clinic Practice Assistant II, you'll play a vital role in creating a positive experience for our patients while helping ensure the smooth day-to-day operation of our practice. This position combines customer service, scheduling, administrative support, and coordination responsibilities in a fast-paced healthcare environment. You'll serve as a key point of contact for patients, providers, and team members, helping to keep appointments, records, and communications organized and running efficiently. What You'll Do Welcome and assist patients, creating a friendly and professional experience from check-in to check-out Schedule appointments and maintain accurate scheduling records Answer incoming calls, assist with routine inquiries, and direct messages appropriately Support patient registration, documentation, and medical record management Process forms, scan documents, and ensure patient information is accurately maintained in the electronic medical record Coordinate the collection of medical records, laboratory results, and other patient information as needed Assist with billing-related activities, including collecting co-payments when required Manage incoming mail, faxes, and other correspondence Support providers and clinical staff by handling messages related to prescription refills, prior authorizations, test results, and patient inquiries Prepare and maintain schedules, forms, reports, and other administrative documents Serve as a resource for scheduling, registration, and billing systems, providing guidance and support to team members Assist with more specialized scheduling functions, including provider schedule management and procedural or surgical scheduling, as needed What Makes You Successful Strong customer service skills and a passion for helping patients Excellent organizational skills with the ability to manage multiple priorities Attention to detail and commitment to accuracy Strong verbal and written communication skills Ability to work independently while collaborating effectively with a team Comfort learning and navigating multiple healthcare systems and technology platforms If you enjoy helping others, staying organized, and being part of a collaborative healthcare team, we'd love to hear from you! - Proficiency with all Office Suite, Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
- Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
- Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively.
- Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
- Managing one's own time and the time of others.
