Job Description

Part-Time Back Office Medical Assistant
  • Pulmonary & Sleep Medicine About our practice We are an independent pulmonary and sleep medicine practice serving adult patients in a small, collegial office setting.
We provide patient-centered, evidence-based care for asthma, COPD, interstitial lung disease, sleep apnea, and related respiratory conditions. We value reliability, clear communication, and respectful, compassionate care for every patient. We aim for a calm, organized environment where patients and staff can breathe a little easier, even on busy days. Position details
  • Schedule:
    Part-time, approximately 3 days per week
  • Hours:
    8:30 am
  • approximately 5:00 pm on scheduled days (no evenings, weekends, or holidays)
  • Setting:
    Outpatient pulmonary / sleep medicine office
Focus:
Back office support, clinical check-in, and patient phone calls (not a traditional front-desk receptionist role) This role combines direct patient interaction with behind-the-scenes coordination, including helping patients navigate orders, authorizations, and other "paperwork hurdles" so that their care is not delayed. Key responsibilities Back office / clinical support and check-in
  • Complete clinical check-in: scan photo IDs and insurance cards, confirm demographics, and ensure information is accurately entered into the EMR.
  • Room patients efficiently: obtain vitals, brief history, medication list, allergies, and reason for visit.
  • Prepare charts and pre-load information in the EMR before visits; ensure pulmonary test results and prior records are filed and easy to review.
  • Assist with pulmonary-related tasks such as spirometry preparation, inhaler teaching, oxygen and nebulizer teaching, Xrays .
  • Accurately document encounters, telephone messages, and physician instructions in the EMR.
  • Complete provider orders, including arranging imaging, pulmonary function testing, sleep studies, home sleep apnea testing, and DME (oxygen / PAP) coordination.
  • Assist with prior authorizations for medications, testing, and DME related to pulmonary and sleep conditions, including following up with insurers and vendors to reduce delays in care. Patient calls and coordination
  • Answer incoming patient calls in a professional, calm manner and route messages appropriately.
  • Triage routine clinical questions using practice protocols and escalate concerns to the physician as needed.
  • Process prescription refill requests under physician guidance and document all actions in the EMR.
  • Provide patients with clear instructions regarding test preparation, follow-up appointments, referrals, and next steps.
  • Track and follow up on outstanding results, referrals, prior authorizations, and DME orders to help ensure nothing falls through the cracks. Teamwork and office support
  • Collaborate closely with the physician and other staff to maintain smooth clinic flow.
  • Help with basic back office tasks such as scanning, EMR clean-up, and maintaining organized work areas and supplies.
  • Contribute to a respectful, supportive environment for patients and coworkers, bringing a steady demeanor and a quietly positive attitude to the workday. Qualifications Required
  • At least 1 year of experience as a Medical Assistant (or similar role) in a pulmonary, sleep, internal medicine, or closely related outpatient setting.
  • Experience obtaining vitals, documenting in an EMR, and handling patient messages and telephone encounters.
  • Comfortable working primarily in the back office and on the phone (not a traditional receptionist role).
  • Strong communication skills, attention to detail, and reliability. Preferred
  • Formal MA training and certification (CMA, RMA, CCMA, or equivalent) or CNA with relevant outpatient experience.
  • Prior experience in pulmonary and/or sleep medicine (e.g., spirometry, inhaler teaching, oxygen or PAP coordination, pulmonary medication prior authorizations).
  • Experience communicating with insurance companies and DME vendors regarding orders, coverage questions, and prior authorizations. Work environment and physical demands
  • Mix of sitting (phone/EMR work) and periods of standing and walking for rooming and clinical tasks during clinic days.
  • Travel to satellite office location
  • Ability to obtain vitals, including manual blood pressure, and occasionally lift or carry up to approximately 10-15 lbs (supplies, small equipment).
  • Ability to work in a fast-paced outpatient environment and manage occasional stress related to patient volume, insurance processes, and clinical demands while maintaining a calm, professional demeanor.
