Float Medical Assistant Job Purpose:
The Medical Assistant (MA) Float, under the supervision of the Office Administrator, is responsible for supporting both clinical and administrative operations across neurosurgery and pain management clinics. This role provides coverage "as needed" across multiple locations and requires flexibility, adaptability, and strong organizational skills to ensure continuity of patient care and clinic efficiency. This position requires travel between our Southlake, Keller, Denton, Decatur, and Dallas locations.
Responsibilities and Duties:
Clinical Support:
Escorts patients to and from exam rooms, physician offices, and treatment areas as appropriate. Prepares patients for examination by collecting and recording vital signs, height, weight, allergies, medication updates, and medical history. Assists physicians and clinical staff during examinations and procedures as needed. Prepares and stocks exam rooms; ensures all necessary equipment and supplies are available. Maintains strict infection control and room disinfection protocols. Obtains and verifies patient records, documentation, and required consents prior to procedures. Assists with coordination of care, including follow-up appointments and patient instructions.
Float Coverage Duties:
Provides coverage for Medical Assistant staff across neurosurgery and pain management clinics based on operational needs. Adapts quickly to different providers, clinic workflows, and patient volumes. Ensures consistency in patient care standards across all locations.
Administrative Support:
Answers and manages incoming calls on the Medical Assistant line, including triaging patient concerns and routing messages appropriately. Assists with front desk operations as needed, including answering phones and managing incoming calls. Checks and responds to voicemails in a timely and professional manner. Supports administrative workflows such as sending visit notes, referrals, and medical records to outside providers. Assists with maintaining accurate and timely documentation in the EMR system.
General Duties:
Protects patient rights by maintaining confidentiality of personal and medical information. Maintains operations by following established policies and procedures and recommending improvements when necessary. Demonstrates excellent verbal and written communication skills. Maintains a professional, flexible, and team-oriented attitude in a fast-paced environment.
Education/Training/Experience:
Minimum high school diploma or GED required. Graduate of an accredited Medical Assistant program. Current Certified Medical Assistant (CMA) credential required. Current CPR certification required. Experience with EMR systems (eClinicalWorks preferred). Previous experience in neurosurgery, pain management, or a specialty clinic preferred. Spanish-speaking preferred but not required.
Skills/Qualifications:
Ability to establish and maintain effective working relationships with patients, providers, and team members across multiple locations. Strong adaptability and ability to work efficiently in varying clinic environments. Knowledge of medical practices, patient care procedures, and safety precautions. Excellent organizational skills, including maintaining accurate records, documenting test results, and coordinating follow-up care. Strong critical thinking, judgment, and ability to remain calm in high-pressure or emergency situations. Ability to effectively triage phone calls and communicate clinical information clearly and professionally. Strong time management skills with the ability to prioritize tasks in a dynamic, multi-site role.
