Job Description

We're looking for someone magnificent to help run our practice like it's their own. Ever walked into a place and instantly seen the ten things that would make it run better, and itched to fix every one? Do you lead with both a backbone and a heart, the kind of person a team actually wants to follow? Tired of being the most organized person in a room that doesn't reward it? Then keep reading. About us We're a concierge regenerative-medicine clinic in Scottsdale, led by Dr. Ashu Goyle. We help active, high-achieving people get out of chronic back and joint pain without surgery or medications, and we do it at a level our clients feel from the very first phone call. The people who walk through our doors are athletes, performers, professional musicians, and driven professionals — high achievers who refuse to settle and are always working to be better. We treat the VIPs of the world, and we hold ourselves to their standard. We're small, we move fast, and we're growing, with a second location on the horizon — and we want a team built from the same cloth as the people we serve. About this role This is the person who runs the place. Not assists — runs. You'll own the day-to-day so our leadership can get back to growing the business. In your first 90 days, you'll learn the practice inside and out, take the team and daily operations off our founder's plate, and start turning what lives in people's heads into systems anyone can follow.
Fair warning:
this role is fast-paced and high-accountability. If that made you lean in instead of flinch, you're who we're looking for. Here's what makes this different from any other practice-manager job you'll scroll past: you'll serve a VIP clientele most clinics never touch, you'll be a true third-in-command (not a glorified front-desk lead), you'll have a real path to Director of Operations as we open our next location. What you'll own Lead the team & culture: run scheduling, time-off, onboarding, and the weekly meeting; hold a clear standard with warmth; build a high-performing, drama-free culture.
Run operations:
keep the clinic running on time and looking immaculate; catch and fix breakdowns before they reach a patient or the physician; manage vendors and supplies. Own the client journey & growth: every lead followed up within 24 hours, zero falling through; bring our concierge touches to life; track KPIs and partner with leadership to drive revenue.
Build the systems:
turn knowledge into documented SOPs and train the team; use modern tools and AI to make the practice faster and more consistent; keep us ready to scale. You're the right fit if you… Run things like you own them — because you can't help it. Take charge with confidence, and people still feel respected and cared for. See feedback as a gift — you give it kindly and take it without flinching. Like to stay busy and actually want to work. You're not here to chitchat. Can't relax until the space looks right and every detail is handled. Hold a high standard without creating drama — you set the example. Are a high achiever yourself — always learning, always leveling up. Carry yourself like a pro in how you communicate, show up, and present. And it's probably not for you if… You want a quiet role where someone hands you a to-do list and leaves you alone. You need a lot of supervision or hand-holding to stay on track. Hard conversations make you shrink instead of step up. "Good enough" feels good enough to you. What you bring
Required:
proven team-leadership experience in a healthcare, wellness, or premium service setting; fluency with CRMs/EHRs (GoHighLevel, Monday.com, practice-management software) and comfort using AI to work smarter; exceptional organization; direct, warm communication; reliability and an ownership mindset.
Nice to have:
experience in a cash-pay or concierge practice; you've built SOPs from scratch; a track record of moving KPIs or revenue. Compensation & benefits $55,000-$70,000/year based on experience, plus a performance bonus and a $500 bonus after your first 90 days. Benefits include health insurance, 401(k), paid vacation and sick time, and wellness perks (access to our therapies and supplements). Clear path to Director of Operations as we grow. Tell us about a time you were responsible for keeping a team and an office running smoothly. What were you actually in charge of? Describe a moment when someone on your team wasn't pulling their weight. What did you do? We move fast and things change. Tell us about a time you had to juggle competing priorities with no one telling you what to do first. How did you decide? What does "above-and-beyond patient experience" mean to you? Give us a real example from your own work. Why this role, and why now? (Be honest — we're looking for fit, not a perfect answer.) Ability to
