This pivotal role combines administrative expertise with clinical oversight, ensuring smooth clinic functioning, compliance with healthcare regulations, and exceptional patient service. The ideal candidate will possess a strong background in medical office management, team supervision, and financial oversight, all while fostering a positive environment for staff and patients alike. Responsibilities Oversee the daily operations of the medical practice, including scheduling, patient flow, and clinical workflows. Manage financial aspects such as budgeting, billing processes, insurance claims, and fiscal management to ensure profitability and sustainability. Supervise administrative and clinical staff, providing leadership in human resources functions like hiring, training, performance evaluations, and team development. Ensure compliance with healthcare regulations including HIPAA (Health Insurance Portability and Accountability Act), JCAHO (Joint Commission on Accreditation of Healthcare Organizations) standards, and local health policies. Maintain accurate medical records using EMR (Electronic Medical Records) systems such as eClinicalWorks, Epic, Dentrix, or Eaglesoft; oversee EHR (Electronic Health Records) management. Monitor clinic operations to optimize efficiency while maintaining high standards of patient care and safety. Implement policies for managing medical administrative support functions such as appointment scheduling, patient check-in/out procedures, and medical records management. Lead efforts in practice management including office management tasks like supply procurement, vendor relations, and facility maintenance. Stay updated on healthcare management best practices and health regulation policies to ensure ongoing compliance and quality improvement. Qualifications Proven experience in medical office or healthcare practice management with a strong understanding of clinic operations. Demonstrated supervisory experience leading teams within a healthcare setting. Proficiency with EMR/EHR systems such as Aesthetic Record and Lead AR. Knowledge of HIPAA regulations, health policy standards (such as JCAHO), and medical terminology essential for compliance and effective communication. Experience with medical administrative support functions including appointment scheduling, medical records handling, and patient data entry. Excellent organizational skills combined with the ability to manage multiple priorities in a fast-paced environment. Experience in medspa, dermatology, or cosmetic practice highly preferred.
