This vital role ensures smooth administrative workflows, excellent customer service, and efficient management of office resources. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to foster a productive and welcoming workplace. Duties Oversee front desk operations, greeting visitors and managing multi-line phone systems with professionalism and courtesy Coordinate calendar management, scheduling meetings, appointments, and conference rooms efficiently Maintain office supplies inventory, place orders, and manage vendor relationships to ensure seamless office functionality Handle data entry, filing, and document proofreading to support administrative accuracy and organization Provide exceptional customer support by addressing inquiries promptly and professionally in person or via phone/email Manage bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices Support personal assistant duties as needed, including travel arrangements and correspondence management Skills Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for collaboration and documentation Excellent computer literacy with the ability to adapt quickly to new software applications Strong phone etiquette skills with experience handling multi-line phone systems and customer service interactions Bilingual abilities are highly desirable to serve diverse client needs effectively Experience in clerical tasks such as typing, proofreading, data entry, filing, and record keeping Knowledge of medical or dental receptionist duties is a plus for healthcare-related environments Ability to manage time efficiently while juggling multiple priorities in a fast-paced setting Join us as an Office Manager to lead our administrative team with energy and precision!
