The PM holds accountability for the full performance of one or more clinic locations — overseeing Clinic Managers, directing clinical and non-clinical teams, and driving operational, financial, and quality outcomes across every service line. This is a leadership role that requires a strategic mindset, strong business acumen, and a deep commitment to delivering exceptional mental health care at scale. The Practice Manager reports directly to their Physician Partner and the Chief Operating Officer, with a dotted-line to the Vice President of Operations. Core Responsibilities Regional Operations Leadership Serve as the primary operational authority for all assigned clinic locations, ensuring consistent execution of organizational standards, workflows, and patient care protocols. Oversee and support Clinic Managers across assigned locations, providing guidance, accountability, and strategic direction for day-to-day clinic operations. Implement and sustain operational infrastructure, processes, and standard operating procedures (SOPs) that drive efficiency, compliance, and scalability. Identify operational gaps and lead continuous improvement initiatives to optimize clinic performance, patient flow, and staff productivity. Ensure all locations maintain regulatory compliance with federal, state, and local healthcare requirements, including HIPAA and specialty service standards (TMS, Spravato®, IV Ketamine, IOP). Maintain staff schedules to ensure adequate clinic coverage across all service lines and hours of operation. Serve as an escalation point for complex operational, staffing, or patient care issues that exceed the Clinic Manager's scope of authority. Financial Oversight & Performance Management Maintain full accountability for regional operational expenses, ensuring costs remain within approved budgets across all assigned locations. Assess and monitor clinic performance data on an ongoing basis, including referral source data, patient visit volumes, provider productivity, and revenue metrics, ensuring clinics are on track to meet visit budget targets. Review and analyze financial reports, identify variances, and implement corrective action plans in collaboration with clinic leadership and finance partners. Manage clinic-level purchasing, vendor contracts, and resource allocation to maximize operational efficiency and cost-effectiveness. Present regular performance updates and financial summaries to the Physician Partner and COO. Team Leadership & People Management Lead, develop, and inspire a high-performing team of Clinic Managers and clinic staff, fostering a culture of accountability, excellence, and compassionate care. Drive recruitment efforts for all open positions within the region, partnering with HR to attract and hire mission-aligned talent. Oversee onboarding and training programs (performed by the Clinic Manager) for all new hires across assigned locations, ensuring consistency and adherence to Turnwell standards. Conduct regular performance evaluations; provide ongoing coaching, development plans, and recognition. Address employee relations matters proactively, escalating to HR as appropriate, and maintaining a positive, productive work environment. Build bench strength within the region by identifying and developing future leaders. Clinic Data & Quality Management Establish and monitor key performance indicators (KPIs) across all clinic locations, including visit volumes, no-show rates, specialty service line volume and clinical throughput metrics. Conduct regular data reviews with Clinic Managers to assess clinic health, identify trends, and drive performance improvement. Ensure accurate and timely reporting of operational and clinical data to organizational leadership. Partner with clinical leadership to support quality improvement initiatives, accreditation readiness, and compliance audits. Leverage data insights to make informed decisions about staffing, scheduling, capacity, and service line expansion. Billing, Collections & Revenue Cycle Oversight Partner with the Director of Revenue Cycle Management (RCM) to oversee billing and collections performance, with a specific focus on timely claim filing and maintaining accounts receivable (AR) greater than 90 days at less than 30% of total AR. Maintain active oversight of billing workflows and collections performance across all assigned clinic locations. Hold clinic teams accountable for documentation accuracy and charge capture compliance to support clean claim submission. Escalate payer issues, systemic billing errors, or AR concerns to the Director of RCM and COO in a timely manner. Participate in revenue cycle meetings and drive resolution of outstanding collections issues at the clinic level. Support the billing team by ensuring accurate charge capture, proper documentation workflows, and timely submission of required information. - PM Strategic Collaboration & Communication Serve as the primary liaison between clinic-level operations and organizational leadership (Physician Partner, COO, VP of Operations). Contribute to strategic planning discussions, market growth initiatives, and new clinic launch efforts as directed by leadership. Represent the regional team in cross-functional meetings, operational reviews, and company-wide initiatives. Communicate organizational priorities, policy updates, and performance expectations clearly and consistently to Clinic Managers and staff. Cultivate strong relationships with Physician Partners to ensure alignment between clinical and operational goals. Qualifications Required Bachelor's degree in Healthcare Administration, Business Administration, or a related field required. Minimum 5-7 years of progressive healthcare operations experience, including at least 2-3 years in a multi-site or regional management role. Demonstrated experience leading and developing teams in a fast-paced clinical environment. Strong financial acumen with direct experience managing operational budgets, analyzing performance data, and driving revenue cycle outcomes. Working knowledge of healthcare billing, coding, and collections processes, including AR management best practices. Proficiency with electronic health record (EHR) systems, practice management platforms, and data reporting tools. Exceptional organizational, communication, and problem-solving skills. Ability to travel regularly between assigned clinic locations within the region. Preferred Master's degree in Healthcare Administration (MHA), Business Administration (MBA), or a related field. Experience in a behavioral health, psychiatry, or specialty mental health practice setting. Familiarity with specialty treatment modalities including TMS, Spravato®, IV Ketamine, and IOP. Prior experience overseeing revenue cycle management, including direct accountability for AR metrics. Experience with multi-site clinic launches, integrations, or operational turnarounds. Standard business hours apply, with flexibility required to meet operational demands. Remote administrative work may be performed when not required on-site.
