Job Description

Coastal Jaw Surgery — home to Same Day Teeth and Pinellas Periodontics & Implant Dentistry — is a premier multi-specialty dental group operating at the highest level of patient care and clinical excellence. We're looking for an Office Manager who brings the same relentless standard to operations that our clinicians bring to surgery. You'll oversee a diverse, talented team and touch every facet of the business: from the moment a patient walks in to the moment their account is reconciled. You'll be the connective tissue that holds the practice together — the calm, decisive presence everyone looks to when challenges arise and processes need to improve.
CORE RESPONSIBILITIES
Administrative Leadership Oversee all day-to-day administrative operations: scheduling, patient registration, insurance verification, and records management Ensure every policy and job description is being followed and the office runs like a well-oiled machine Keep pace with ever-changing industry regulations and implement required changes quickly and accurately Team Management & Culture Directly supervise dental assistants, receptionists, and all administrative personnel Ensure every team member is properly trained, performing at a high level, and has what they need to succeed Foster a positive, accountable, and team-first culture that attracts and retains top talent Handle personnel issues with professionalism, fairness, and a bias toward resolution Financial Management Billing, accounts receivable, and budgeting in close collaboration with the Practice Administrator Ensure financial goals are tracked, reported, and actively pursued — you're not just watching the numbers, you're moving them Identify and address financial inefficiencies before they become costly problems Patient Experience Handle escalated patient inquiries and complaints with empathy, speed, and professionalism Set the standard for patient-facing interactions — everyone on your team should model your commitment to exceptional service Implement internal marketing campaigns to build reviews, patient loyalty, and referral momentum Compliance & Quality Assurance Ensure full compliance with OSHA, HIPAA, and all applicable regulations — zero exceptions Coordinate and communicate all scheduled inspections (including anesthesia inspections) to the appropriate parties immediately upon scheduling Conduct regular audits and quality evaluations; use results to drive continuous improvement Technology & Inventory Oversee use of dental software and electronic health records — ensure every team member is trained and using tools effectively Manage inventory of dental supplies and equipment; ensure timely ordering so the practice never runs short Stay ahead of technology trends that can improve efficiency and patient care

proven leader who earns respect through competence, consistency, and genuine care for your team A systems thinker who spots inefficiency and builds better processes before being asked A skilled communicator who's as effective in a staff meeting as you are in a one-on-one coaching conversation Someone with prior dental office management or healthcare administration experience who hits the ground running Fluent in dental software and EHR systems — you embrace technology rather than resist it Deeply knowledgeable about regulatory requirements and the consequences of non-compliance A lifelong learner committed to staying current through continuing education and industry engagement A bachelor's degree in healthcare administration or a related field (preferred, not required)
