About the Role Every practice manager job is built differently. Most are built to keep the schedule full and the doors open. This one is built around the patient. Atlantic Dentistry is Gleam Dental Care's founding partner practice in Jacksonville, and our Bartram Park office is the one you would run. We are looking for someone who treats patient care as an act of service. Not a transaction, not a step in a workflow, and not something that gets squeezed when the day runs long. The right person believes a patient's needs come first, lives it in front of the team every day, and can teach it to everyone they hire. What You'll Own
- The practice runs.
Own the daily operation:
schedule utilization, patient flow, provider productivity, and room turnover. You see a gap in tomorrow's schedule today and fill it. Own proactive schedule management through daily and weekly schedule audits, including unscheduled treatment, recall and reactivation, broken appointments, provider downtime, and open time. Establish clear ownership across the team and follow through until gaps are resolved.- Patients feel cared for.

- The practice is compliant. Maintain OSHA and HIPAA compliance, infection control, Florida Board of Dentistry requirements, and documentation in Open Dental. - 3+ years managing a dental or medical practice, or 5+ years in a dental office with at least 2 years leading a team.
- A genuine service orientation, and a track record of coaching it into other people rather than only modeling it yourself.
- Experience owning the patient experience: complaint resolution, recall and reactivation, and patient feedback or online reviews.
- Working knowledge of dental insurance, billing, coding, and the revenue cycle, and experience owning production and collections goals.
- Demonstrated ability to proactively manage a dental schedule, including recall, reactivation, unscheduled treatment, cancellations, no-shows, and provider utilization.
- Working knowledge of OSHA and HIPAA requirements in a clinical setting.
- Proven ability to lead, coach, and hold a team accountable with both directness and warmth.
- Comfort with practice management software. Open Dental experience is a plus. Preferred
- Experience in a multi-location dental group or DSO.
- Experience opening a new practice or onboarding a full team.
- Experience with treatment plan presentation and case acceptance coaching.
- Bachelor's degree in Healthcare Administration, Business Management, or a related field, or certification in dental practice management. Your First 90 Days
- You know every team member's name, role, and what they are working on.
- You have listened to patients directly and fixed at least one thing they told you about.
- Daily huddles are running consistently and the schedule is managed proactively, not filled reactively.
- You have established consistent daily and weekly schedule-audit processes, and your team knows exactly who owns open time, unscheduled treatment, recall, reactivation, and broken-appointment follow-up.
- Your team can describe the standard for how a patient is greeted, informed, and followed up with, because you taught it and you model it.
- You know the key drivers of your practice—production, collections, AR, schedule utilization, case acceptance, recall, and cancellations—and can explain what is working, what is not, and what your team is doing about it.
- Compliance documentation is current.
