Job Summary .We are seeking an experienced and highly organized Medical Office Manager to oversee the daily operations of a busy Cardiology practice. This leadership role involves managing administrative functions, ensuring compliance with healthcare regulations, and supporting clinical staff in delivering exceptional patient care. The ideal candidate will possess extensive medical office experience, strong managerial and leadership skills, and proficiency with electronic health record (EHR) systems, specifically eClinicalWorks (eCW) . Candidates must be bilingual in English and Spanish , possess a clinical license or certification as an MA, LPN, or RN , and have a minimum of 3 years of medical office management experience . Duties Oversee daily clinic operations, including patient scheduling, registration, and check-in processes using patient management software. Manage financial aspects such as billing, coding, collections, budgeting, and fiscal management to ensure the practice's financial health. Supervise healthcare staff including administrative personnel, nurses, and clinical support staff; facilitate training and performance evaluations. Ensure compliance with healthcare regulations such as
HIPAA, JCAHO
standards, and health policy policies through regular audits and staff education. Maintain accurate medical records and electronic health records (EHR/EHR systems), ensuring confidentiality and adherence to legal standards. Coordinate with physicians and clinical teams to optimize workflow efficiency and support acute care or dental clinic needs. Handle human resources functions including recruitment, onboarding, employee relations, and conflict resolution. Monitor practice management metrics to improve patient flow, customer service quality, and operational productivity. Implement process improvements utilizing office management tools like Microsoft Office suite for reporting and documentation. Ensure proper management of medical billing processes and managed care procedures to maximize revenue cycle performance. Experience Proven experience in medical office management or healthcare practice management for at least three years. EMR System - ECW a must Extensive knowledge of medical administrative support functions including medical terminology, medical records management, and compliance standards such as HIPAA. Demonstrated supervisory experience managing teams within a healthcare setting. Proficiency with EMR/EHR systems such as Eaglesoft or Dentrix; familiarity with patient management software is essential. Strong background in fiscal management including budgeting, financial reporting, and medical billing. Experience working in diverse clinical environments such as acute care or dental clinics is highly desirable. Knowledge of healthcare regulation policies including JCAHO accreditation standards and utilization management practices. Excellent managerial communication skills combined with customer service excellence. Ability to adapt quickly to changing healthcare regulations while maintaining high standards of practice efficiency.
