This is not a traditional office manager position. We're looking for an analytical business operator who builds systems, improves performance through data, develops accountability, and creates measurable business results. Success in this role isn't measured by how busy you are—it's measured by the strength of the systems you build, the people you develop, and the operational improvements you deliver. If you naturally think in KPIs, dashboards, workflow improvement, financial performance, and continuous operational improvement, we'd like to speak with you. Reporting directly to ownership, you will oversee day-to-day operations, build scalable systems, improve workflows, strengthen accountability, and help create a more efficient organization with less day-to-day owner dependency. Key ResponsibilitiesBusiness Operations & Performance Own and monitor operational KPIs including provider utilization, patient retention, rebooking, conversion, scheduling effectiveness, labor efficiency, inventory, and revenue performance. Analyze business performance to identify operational gaps and implement measurable improvements. Develop dashboards and reporting processes that provide leadership with clear operational visibility. Partner with ownership to improve profitability, scalability, and operational excellence. Systems & Process Improvement Build, document, implement, and continuously improve SOPs, workflows, playbooks, and operational systems. Evaluate current processes and eliminate inefficiencies. Improve scheduling, CRM, EMR, and practice management workflows. Coordinate inventory management and vendor relationships. Develop systems that reduce owner dependency while increasing consistency and accountability. Leadership & Accountability Lead, coach, mentor, and develop non-clinical team members. Conduct regular coaching, performance reviews, and accountability conversations. Establish measurable goals and performance expectations. Foster a culture of professionalism, ownership, accountability, and continuous improvement. Patient Experience Ensure an exceptional patient experience from the first inquiry through long-term retention. Professionally resolve patient concerns while protecting the practice's reputation. Monitor patient satisfaction and identify opportunities to improve the overall patient journey. Financial & Business Operations Monitor operational drivers that impact revenue and profitability. Assist with budgeting, labor management, inventory control, and operational planning. Improve scheduling efficiency and provider utilization. Use business data to guide operational decision-making. Required Qualifications Minimum three years of operations leadership experience within a medical spa, aesthetics practice, plastic surgery, dermatology, ophthalmology, dental group, physician practice, wellness clinic, or other multi-provider healthcare organization. Experience owning and reporting business KPIs and operational performance metrics. Experience building or improving SOPs, workflows, playbooks, dashboards, or operational systems. Experience improving operational performance through data-driven decision making. Experience leading, coaching, and holding teams accountable. Strong analytical, financial, and problem-solving skills. Experience using CRM, EMR, scheduling, or practice management software. Fluent in both English and Spanish. Preferred Qualifications Bachelor's degree in Business Administration, Healthcare Administration, Finance, Management, or a related field. MBA or advanced business education preferred. Experience with Boulevard, Nextech, GoHighLevel, Aesthetic Record, or similar platforms. Experience in high-growth medical aesthetics or wellness organizations. This Role May Not Be the Right Fit If Your experience has primarily been limited to front-office management or scheduling. You have never personally owned business KPIs or operational performance metrics. You prefer maintaining existing systems instead of building and improving them. You are uncomfortable coaching employees or having accountability conversations. Success in This Role During your first 90 days, you'll assess operational performance, evaluate existing systems, identify key opportunities, and develop a prioritized improvement plan. Within your first year, you'll help create a more efficient, accountable, data-driven, and scalable organization by improving workflows, strengthening team performance, enhancing the patient experience, and driving measurable business results while reducing day-to-day owner dependency. Compensation & Benefits Base salary: $75,000-$85,000 annually Performance bonus opportunity of up to $20,000 annually based on operational performance and strategic business objectives.
