Pulmonary, Critical Care and Sleep Disorders Medicine, PA is seeking a dependable and professional Clinical Office Supervisor to join our growing specialty practice in Pensacola, Florida. We are a 9-provider independent private practice offering patient-centered pulmonary, critical care, and sleep medicine services. Position Summary The Clinical Office Supervisor is responsible for overseeing the daily operations, workflow coordination, staffing support, and administrative functions of both the clinical and front office departments of the practice. This leadership role ensures efficient patient flow, quality customer service, staff accountability, provider support, and operational consistency across all assigned areas. The Clinical Office Supervisor serves as a working leader and is expected to maintain a visible presence throughout the practice while assisting with operational problem-solving, staff supervision, patient concerns, and workflow management. Essential Duties and Responsibilities Supervise and support front office staff including: Check-In Check-Out Medical Records Referrals Prior Authorizations New Patient Scheduling Monitor patient flow and front office efficiency throughout the day Assist with managing provider schedules to optimize workflow and patient access Ensure timely handling of referrals, records requests, and authorizations Address and resolve patient complaints, service concerns, and operational issues professionally and promptly Ensure staff maintain professionalism, productivity, and customer service standards Supervise Medical Assistants and assist with clinical workflow coordination Monitor staffing coverage and operational readiness throughout clinic hours Assist with onboarding and orientation of clinical support staff Coordinate provider support needs and communicate operational concerns to Administration Support compliance with practice protocols, patient safety procedures, and operational standards Monitor departmental performance, workflow efficiency, and staff productivity to ensure operational goals are met. Schedule physician bronch procedures and coordinate related logistics Assist with Aprima setup for new hires and approved TA/system access requests Oversee RavePoint send-outs and related workflow processes Conduct interviews and assist with recruitment efforts for vacant departmental positions Assist with staff scheduling and coverage coordination Approve employee timecards accurately and timely Prepare and submit incident reports as needed Participate in workflow improvement initiatives and operational planning Assist Administration with implementation of policies, procedures, and process improvements Maintain confidentiality of employee, patient, and business information Leadership Expectations Maintain a professional, solution-oriented leadership presence Maintain consistent and dependable attendance in alignment with operational and supervisory responsibilities. Provide visible onsite leadership presence during normal clinic operating hours unless otherwise approved by Administration. Provide coaching, accountability, and support to assigned staff Address performance and behavioral concerns promptly and professionally Promote teamwork, communication, and operational efficiency Serve as a liaison between staff, providers, and Administration Demonstrate flexibility and responsiveness to operational needs Additional Responsibilities May perform other duties as needed to support practice operations and patient care services Qualifications Previous supervisory or healthcare leadership experience preferred Knowledge of medical office operations and clinical workflow Strong communication, organizational, and problem-solving skills Experience with EHR systems Ability to multitask and manage multiple operational priorities Ability to maintain professionalism in high-volume and fast-paced environments Physical and Work Requirements Ability to remain active and accessible throughout the workday Ability to work flexible hours as operational needs require Ability to communicate effectively with staff, patients, providers, and leadership Reporting Structure Reports directly to the Practice Administrator.
