Overview We are seeking a dynamic and highly organized Office Manager/Administrative Assistant to join our team! This vital role combines office management with administrative support, ensuring smooth daily operations and exceptional client service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to handle a variety of tasks with enthusiasm and professionalism. Duties Manage daily office operations, including overseeing supplies, equipment, and facility maintenance to ensure a productive workspace. Serve as the front desk ambassador by greeting visitors, answering multi-line phone systems, and providing outstanding customer service. Coordinate calendar management and appointment scheduling for staff and executives using productivity software such as Microsoft Office and Google Workspace. Handle data entry, maintain accurate filing systems, and perform clerical tasks including proofreading, word processing, and document preparation. Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping. Assist with client communication via phone, email, and in person; ensure professional phone etiquette and timely responses to inquiries. AP, AR, Payroll. Requirements Proven experience in office management or administrative support roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools (Docs, Sheets), and familiarity with productivity software. Excellent computer literacy with the ability to perform data entry, manage spreadsheets, and utilize bookkeeping software such as QuickBooks. Exceptional communication skills—both verbal and written—with an emphasis on phone etiquette and customer support. Experience with multi-line phone systems, front desk duties, calendar management, and clerical tasks such as filing and proofreading. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment. Previous experience in medical or dental reception is a plus; familiarity with medical or dental office procedures is advantageous. Personal assistant experience or office experience that demonstrates reliability and professionalism.
