Job Description

About The Position Medical Equipment Specialists is seeking a highly organized, motivated, and customer-focused Office Manager to join our growing Durable Medical Equipment (DME) team. This individual will play a key role in the daily operations of our Stuart office by ensuring exceptional customer service, supporting patients through the intake process, coordinating deliveries, and assisting with administrative and operational functions. The ideal candidate is a strong multitasker with excellent communication skills, exceptional organizational abilities, and the experience to thrive in a fast-paced DME environment.
Responsibilities:
Answer inbound and outbound patient and customer phone calls professionally and courteously. Convert inbound inquiries into sales opportunities by educating patients and referral sources on products and services. Manage and maintain the company's CRM system. Schedule and coordinate Durable Medical Equipment (DME) deliveries. Manage technicians' daily schedules, routes, and assigned tasks. Complete patient intake and obtain all required documentation. Verify insurance eligibility and benefits. Post patient and insurance payments accurately. Order and maintain office supplies and inventory. Maintain accurate patient records and documentation. Provide outstanding customer service to patients, physicians, referral sources, and insurance companies. Assist with daily office operations and special projects. Perform additional administrative and operational duties as assigned by the Chief Operating Officer (COO). Required Qualifications Minimum of one (1) year of Durable Medical Equipment (DME) experience or a strong working knowledge of DME operations, Medicare guidelines, insurance verification, and patient intake. Previous medical office management or healthcare office experience preferred. Excellent customer service and communication skills. Ability to multitask and prioritize in a fast-paced environment. Strong organizational and time-management skills. Proficiency with Microsoft Office (Word, Excel, Outlook). Experience using CRM software preferred. Reliable, dependable, and detail-oriented. Preferred Skills Experience converting patient inquiries into sales. Knowledge of medical terminology and DME documentation requirements. Ability to lead and coordinate office workflow while supporting field technicians. Experience working with EMR/DME management software. Pay:
$25.00 - $28.00 per hour
