This is a key leadership position responsible for overseeing the day-to-day operations of the office while helping patients understand, accept, and schedule the treatment they need. The ideal candidate is a confident communicator and natural leader who enjoys working with both patients and team members. This individual should be highly organized, detail-oriented, financially savvy, and committed to providing an exceptional patient experience. Key Responsibilities Office Management Oversee daily dental office operations and ensure the practice runs efficiently. Lead, support, and hold team members accountable to established goals and expectations. Manage scheduling, patient flow, staff coordination, and daily office needs. Monitor office production, collections, accounts receivable, and other key performance indicators. Coordinate staff meetings, training, and ongoing team development. Maintain compliance with office policies, HIPAA, OSHA, and applicable dental regulations. Work closely with the dentist/owner to implement practice goals and improve profitability and efficiency. Treatment Coordination Welcome patients and create a warm, professional experience from consultation through completion of treatment. Present diagnosed treatment and clearly explain treatment options, benefits, timing, and financial considerations. Help patients understand their insurance benefits and estimated out-of-pocket expenses. Discuss financing and payment options when appropriate. Follow up with patients who have unscheduled or incomplete treatment. Build trust and rapport with patients to help them feel confident moving forward with recommended care. Coordinate treatment appointments and communicate effectively with the clinical and front-office teams. Track treatment acceptance and identify opportunities to improve case acceptance. Patient Experience Resolve patient concerns professionally and promptly. Maintain a positive, service-oriented office culture. Ensure patients receive consistent communication before, during, and after treatment. Help create an environment where patients feel valued, respected, and cared for. Qualifications Previous experience in dental office management, treatment coordination, dental assisting, dental front office, or a related healthcare setting. Strong understanding of dental terminology, procedures, scheduling, and insurance. Excellent verbal and written communication skills. Strong leadership and organizational abilities. Comfortable discussing treatment fees, financing, and payment options. Strong customer service and relationship-building skills. Ability to multitask and remain calm in a fast-paced environment. Proficiency with dental practice management software and standard office technology. Professional appearance and a positive, team-oriented attitude. Preferred Qualifications 2+ years of dental management or treatment coordination experience. Experience with treatment presentation and case acceptance. Experience managing dental insurance and financial arrangements. Experience tracking practice KPIs such as production, collections, new patients, and treatment acceptance. Leadership or supervisory experience.
