General Description of the Job Class This Project Manager leads and provides strategic guidance to multiple project teams to ensure the successful execution of high-end hospitality projects. They serve as a steward of design intent and operational excellence, ensuring that each project is delivered with the precision, quality, and attention to detail expected within the luxury hospitality sector. Working in close partnership with interior designers, hotel ownership, and operators, this role oversees the procurement and execution of Furniture, Fixtures & Equipment (FF&E) purchasing from concept through installation and close-out. They ensure that all elements are thoughtfully sourced, meticulously managed, and delivered in alignment with the project's design vision, schedule, and financial parameters. Duties and Responsibilities of this Level The candidate will be responsible for managing the purchasing process for assigned projects and project teams including:- Collaborate closely with internal teams and distinguished external partners, including designers, ownership groups, and operators to guide projects from concept through completion, ensuring seamless execution aligned with the project's design vision and strategic objectives.
- Develop and implement a tailored procurement strategy for each project, thoughtfully balancing design intent, craftsmanship, lead times, and budget considerations while maintaining the highest standards of quality and brand integrity.
- Oversee the FF&E procurement process for each assigned project, ensuring all selections reflect the project's design standards while maintaining disciplined adherence to budget, schedule, and operational excellence.
- Develop budgets and project purchasing schedules/lead-time analysis for new projects (in collaboration with Leadership)
- Address (own) and guide Project Teams with engagements involving external parties (i.e. clients, ownership, design firms, manufacturers, etc.) when key deliverables are delayed or not provided (i.e., budgets, schedules, specifications, submittal approvals, take-offs, etc.)
- Work with external partners (i.e., clients, ownership, design firms, manufacturers, etc.) as necessary to resolve all open issues
- Ensure that all projects are within established/approved budgets and schedules and ensure that all communication of budget and schedules is consistently delivered to the appropriate external partners (i.e., clients, ownership, etc.)
- Ensure that all project deliverables (both internal & external) are on track: oFacilitate regularly scheduled meetings designed to communicate, review and address critical data for each project (i.
- Review budgets/bid analysis, POs and contracts with Project Teams (inclusive of Accounting Teams); preparing and processing various forms inclusive of/related to purchase orders, change orders, exception reports, bid requests, and other buying procedures
- Cultivate strong relationships with clients, ownership groups, designers, manufacturers, and internal teams, extending The Carroll Adams culture of hospitality, partnership, and white-glove service in every interaction; Exhibit a professional manner in dealing with others, working to maintain constructive working relationships
- Maintain deep awareness of the luxury hospitality marketplace, including premium manufacturers, emerging materials, and global sourcing opportunities to proactively advise project partners and elevate project outcomes; keep abreast of market fluctuations affecting price and delivery
- Recommend purchasing policies and programs that help protect and guide the organization forward, maintaining and improving its competitive position and the profitability of the operation

Level Education:
Candidate will ideally possess a Bachelor's degree (BS/BA/AB) in Interior Design, Hospitality Management, Business, Construction Management, or a related field. A minimum of three (3) years of project management experience within luxury hospitality, interior design procurement, or high-end construction environments is required. The ideal candidate will demonstrate experience managing projects that involve premium finishes, custom furnishings, and collaboration with interior designers, ownership groups, and hospitality operators. Candidates should have a proven ability to manage procurement and project execution within established budgetary and schedule parameters while maintaining the integrity of the design vision. A working knowledge of interior design specifications, hospitality standards, and the FF&E procurement process is highly preferred.Skills:
- Proficiency in Microsoft Office Suite, with strong capabilities for budgeting, procurement tracking, and financial analysis
- Experience working within cloud-based procurement or project management platforms
- Strong negotiation and vendor management skills, with the ability to balance cost control with quality and design expectations
- Demonstrated ability to manage multiple projects simultaneously in a fast-paced hospitality environment
- Exceptional organizational and time management skills, with close attention to detail and project accuracy
- Ability to communicate professionally with design firms, hotel ownership groups, manufacturers, and internal teams
- Strong understanding of FF&E procurement timelines, manufacturing processes, and logistics coordination
- Ability to problem-solve proactively and guide project teams through challenges while maintaining schedule and design standards
- A collaborative mindset and commitment to delivering a high-touch client and partner experience
