Job Description

We are seeking an experienced, dependable, and proactive Medical Office Manager to support the daily operations and staff of our established pediatric practice. The ideal candidate will be a collaborative leader who communicates effectively, provides consistent guidance to employees, addresses concerns promptly, and contributes to an organized, professional, and patient-focused environment. This position reports to the Practice Administrator and works closely with providers, clinical staff, and administrative staff to ensure efficient daily operations and excellent patient care. Key Responsibilities
  • Supervise and support front-office and clinical support staff
  • Prepare and maintain employee schedules
  • Monitor attendance, punctuality, productivity, and policy compliance
  • Conduct daily team huddles and communicate operational updates
  • Ensure appropriate patient flow and address delays or workflow problems
  • Respond professionally to patient and parent concerns
  • Assist with employee onboarding, training, and competency development
  • Promote teamwork and effective communication between providers, clinical staff, and administrative staff
  • Maintain patient confidentiality and ensure compliance with HIPAA, OSHA, infection-control, and practice policies
  • Identify operational concerns and promptly escalate significant issues to the Practice Administrator
  • Perform other management and administrative duties as assigned Required Qualifications
  • Minimum of two years of medical office management or supervisory experience
  • Minimum of two years of medical office experience
  • Demonstrated experience supervising employees and managing daily workflow
  • Strong leadership, communication, organization, and conflict-resolution skills
  • Ability to hold employees accountable professionally and consistently
  • Ability to manage multiple priorities.
  • Working knowledge of HIPAA and standard medical office procedures
  • Proficiency with electronic health records, scheduling systems, email, and Microsoft Office
  • High school diploma or equivalent Preferred Qualifications
  • Experience in outpatient pediatric practice
  • Experience managing both front-office and clinical support staff
  • Experience with employee scheduling, training, performance documentation, and patient complaints
  • Familiarity with electronic health record system
  • Associate or bachelor's degree in healthcare administration, business administration, or a related field Benefits
