Job Description

Job Summary We are seeking a dynamic and highly organized Practice Operations Manager to oversee the daily operations of our growing healthcare practice. This pivotal role combines operational leadership with hands-on management to ensure the smooth functioning of clinical and administrative activities. The Practice Operations Manager will oversee patient flow, office operations, vendor and contractor relationships, staff coordination, payroll and invoice processing, and business development initiatives. This role is essential in fostering an efficient, patient-centered environment while supporting the continued growth and expansion of the practice. Duties Oversee all aspects of daily practice operations, including scheduling, patient flow, patient experience, and administrative workflows to optimize efficiency and patient satisfaction. Ensure office policies, procedures, and patient protocols are followed consistently. Coordinate and oversee outsourced contractors and vendors, including billing, marketing, IT, website, and other service providers. Monitor billing reports, collections, outstanding claims, and operational metrics to help ensure practice performance goals are achieved. Process invoices, coordinate vendor payments, and assist with payroll administration. Supervise administrative staff, assist with hiring and training, and help maintain a positive and productive work environment. Identify workflow inefficiencies and implement process improvements to enhance patient care delivery and operational performance. Coordinate with marketing and IT teams to support ongoing projects, website improvements, patient outreach initiatives, and business growth strategies. Track operational projects and ensure timely completion of assigned tasks and initiatives. Assist ownership with implementation of new services, operational systems, and practice expansion opportunities. Oversee office supplies, equipment maintenance, and vendor relationships to support seamless day-to-day operations. Ensure compliance with HIPAA and other applicable healthcare regulations. Requirements Previous experience in medical office management, healthcare administration, practice operations, or a similar leadership role. Demonstrated experience managing staff, vendors, or contractors. Strong organizational and project management skills with the ability to manage multiple priorities simultaneously. Experience with EMR/EHR and practice management systems; experience with Tebra/Kareo is preferred. Familiarity with medical billing processes, collections, and revenue cycle management. Experience with payroll, invoice processing, and vendor management preferred. Excellent communication, problem-solving, and leadership skills. Ability to work independently, take initiative, and drive projects to completion. Interest in helping a growing healthcare practice improve operations and expand services. Pay:
$25.00 - $30.00 per hour
