This role is vital in ensuring smooth office functionality, managing vendor relationships, and supporting team members with exceptional customer service. The ideal candidate will bring a proactive attitude, strong organizational skills, and experience in office management, accounting, and human resources to foster an efficient and welcoming workplace. This position offers an exciting opportunity to contribute to a company dedicated to providing essential medical equipment with professionalism and care. Responsibilities Manage daily office operations, including scheduling appointments, maintaining calendars, and coordinating meetings for staff and clients Oversee vendor management by liaising with suppliers, processing orders, and ensuring timely delivery of medical equipment and supplies Supervise administrative staff, providing training, support, and development opportunities to foster a collaborative team environment Handle bookkeeping duties using accounting software such as QuickBooks; maintain accurate records of expenses, invoices, and payments Manage payroll processing and human resources functions including employee onboarding, file management, and confidentiality of sensitive information Coordinate event planning activities for staff training sessions or community outreach events related to medical equipment services Maintain organized filing systems for client records, invoices, and other confidential documents while ensuring compliance with privacy regulations Skills Proven experience in office management, administrative support or related roles within healthcare or medical supply environments Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with advanced spreadsheet skills for budgeting and financial tracking Familiarity with accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and financial reporting is preferred Excellent communication skills—both verbal and written—to effectively interact with clients, vendors, and team members Demonstrated supervisory experience with the ability to lead a team confidently while fostering a positive work environment Exceptional organizational skills with keen attention to detail; capable of managing multiple priorities efficiently Knowledge of human resources practices including payroll processing, employee onboarding, and confidentiality handling Ability to manage schedules effectively using calendar management tools; adept at event planning and coordinating logistics Strong customer service orientation; skilled at front desk management and client communication in a professional manner Technical proficiency in office equipment, office management systems, and relevant healthcare or financial software Join us in this rewarding role where your organizational talents will directly impact the delivery of essential medical services.
