Under the direction of the Office Manager and Administrative Director and in coordination with the Office Medical Director, the Office/Clinic Supervisor is responsible for the day-to-day business operations of the clinic, including operational excellence, patient care delivery and satisfaction, and employee engagement. This position requires basic generalist skills across a variety of disciplines including accounting and budgeting, work flow analysis, project planning and implementation, human resources, quality improvement, compliance, and customer care. Prior management and supervisory experience, preferably in a medical setting, is required, with knowledge of Medicare, Medicaid and third-party payers preferred. Responsibilities :
Demonstrates knowledge of appropriate Office systems Demonstrates knowledge of Front Office positions/protocols. Coordinates and facilitates rescheduling of provider's clinic and or schedules. Interviews potential employees and On-boards new employees. Organize, coordinates and completes assigned projects for the administrative director and/or clinicic manager in a timely manner. Coordinates and assists with all facets for the Electronic Medical Record (EMR) and Scheduling systems. Acquires, maintains and demonstrates working knowledge of the practice's managed care plans. Compliant by attending and/or completing all mandatory education. Assumes necessary functions of Practice/Office Manager in his/her absence. Compiles data for provider availability. Coordinates scheduling for Front Office Staff, through preparation of daily schedules, ensuring adequate staffing to meet patient care needs Approves PEP time, vacations and makes recommendations to Office manager/Director regarding unusual circumstances. Completes initial Staff Performance Evaluations for area of responsibility and participate with the Office Manager/Director in delivering employee performance evaluations. Quickly and effectively mediates and resolve Front Office and Clinical staff conflicts. Comprehensively trains and orients all new employees, tour new employees through the practice while introducing them to staff. Arranges and ensures successful staff training on all required office systems. Works with the office manager/administrative director in establishing Departmental Directives and office protocols. Schedules staff meetings and prepares agendas. Completes weekly payroll for department to include any edits and payroll change requests. Maintains departmental attendance tracking. Reports to Office Manager/Director when disciplinary action is warranted. Assists in the prepararation and management of the annual budget for the clinic. Solicits input on department's needs and purchases; orders medical and office supplies as needed. Maintains accurate inventory records. Collects and processes quality improvement data. Utilizes evaluation methodologies to measure and assure quality reporting by staff. Prepares timely reports as required. Collaborates with other departments or external services to achieve departmental or organizational goals. Assures all aspects of patient care are performed in an environment that optimizes patient safety and reduces the likelihood of errors. Collaborates with ancillary services to provide a safe, clean and secure environment for patients, staff and visitors. Establishes and maintains provider schedules; assures patients are scheduled for appointments in a timely fashion. Facilities increased collections of time of service. Coordinates and directs patient accounting to consistently produce accurate bills which are paid in a timely manner. Reconciles patient account information. Works with MCPA billing to assure accurate charges, coding and researching billing questions as required. Offers solutions for billing inefficiencies. Assists manager/director to ensure prompt handling of patient inquiry and complaints, escalating as appropriate, and resolving issues within the designated time frame. Understands and uses HR policies and tools to effectively motivate staff, build team work, and achieve goals and results through others. Effectively delegates. Participates in selection of staff and recommends corrective action to address performance deficiencies. Provides input for professional growth and development of staff in collaboration with the Office Manager. Develops/revises comprehensive departmental orientation program and competency assessments. Assures ongoing staff competencies, and verifies that licensed staff maintain current credentials. Assists manager in the commpletion of performance appraisals in a timely fashion, and provides regular, informal coaching and ongoing feedback. Maintains effective, ongoing communications with staff; understands their issues and concerns and recommends/implements appropriate action plans to address them. Plans and conducts regular staff meetings, maintaining minutes. Assures all employees actively participate and understand the department's Quality Improvement and Assurance Plan. Takes appropriate action t recognize staff for achievements and celebrate accomplishments.
Other Information :
Minimum of two years of supervisory experience, preferably in a medical setting is required, with knowledge of Medicare, Medicaid and third party payers preferred. Experience developing and implementing process improvements and measuring results. Demonstrated ability to work with providers, staff, colleagues and administrative support staff in a collaborative manner. Experience using Lean, Six Sigma or other process improvement methodologies preferred. Excellent computer skills, including MS Office suite proficiency, are required. Knowledge of Meditech and other medical office applications a plus. Competencies and Skills 2+ years of relative work experience required.
