Job Description

Overview We are seeking an experienced, highly organized Practice Manager to oversee the day-to-day operations of a busy plastic surgery practice. The ideal candidate is a strong leader who is exceptionally organized, detail-oriented, proactive, and emotionally mature. This person must be able to manage staff effectively, maintain a positive and professional workplace, and take ownership of practice operations with minimal physician oversight. Key Responsibilities Manage and actively supervise front-office staff, including hiring, onboarding, training, attendance, performance management, coaching, and disciplinary documentation. Set clear expectations, delegate responsibilities, and follow through to ensure assigned tasks are completed accurately and on time. Identify employee performance or workflow problems early and address them professionally, objectively, and consistently. Foster a positive, respectful, and accountable workplace culture while handling employee concerns and conflicts with professionalism and fairness. Oversee daily front-office operations, patient scheduling, surgical scheduling, and overall workflow. Monitor patient inquiries and CRM activity daily to ensure leads are contacted promptly and established follow-up procedures are being completed. Ensure an exceptional patient experience through prompt communication, accurate information, professional service, and effective resolution of patient concerns. Maintain accurate and organized administrative records, calendars, personnel files, deadlines, and operational documentation. Oversee employee timekeeping, attendance, PTO coordination, and communication of payroll-related information to the accountant. Monitor patient payments and deposits and ensure surgical balances are collected according to practice policy. Manage routine accounts payable, including tracking bills and preparing payments for approval. Track physician licensing, CME, credentialing, certifications, malpractice coverage, and required business insurance renewals. Coordinate limited surgery-center administrative needs, including scheduling, labs/pathology, supplies, linens, and equipment-processing needs. Coordinate with the practice's marketing agency and assist with limited social media and promotional activities. Provide weekly operational updates and ensure outstanding tasks, staff issues, and practice priorities are followed through to completion. Qualifications 3+ years of medical practice management experience , preferably in plastic surgery, cosmetic surgery, dermatology, aesthetics, or a similar outpatient setting. Demonstrated experience supervising employees, hiring, onboarding, performance management, and conflict resolution. Strong knowledge of medical-office operations and HR best practices. Experience with EHR, CRM, scheduling, and medical practice management systems. Working knowledge of HIPAA and healthcare compliance. Excellent communication and problem-solving skills. Pay:
$62,000.00 - $70,000.00 per year
