Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role involves coordinating administrative functions, managing office staff, and ensuring smooth communication across departments. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for creating an efficient workplace. As the backbone of our office operations, you will play a key role in supporting team productivity and maintaining a welcoming atmosphere for clients and visitors alike. Responsibilities Manage front desk operations, including greeting visitors, handling inquiries, and maintaining a professional reception area Oversee multi-line phone systems, directing calls efficiently and providing exceptional customer service Maintain accurate records through data entry, filing, and document proofreading to ensure organizational compliance Coordinate calendar management and scheduling for meetings, appointments, and company events Handle bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping Supervise clerical staff and delegate administrative duties to ensure timely completion of tasks Support office management activities such as supply ordering, equipment maintenance, and space organization Provide bilingual support as needed to assist diverse clients and team members with communication Requirements Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with QuickBooks or other bookkeeping software is highly desirable Excellent phone etiquette with experience managing multi-line phone systems and customer support roles such as dental or medical receptionist experience preferred Strong computer literacy with the ability to perform data entry, proofreading, filing, and general clerical tasks efficiently Exceptional time management skills with the ability to prioritize multiple responsibilities effectively Bilingual abilities are a plus to support diverse client interactions Previous experience in office or clerical roles demonstrating professionalism and attention to detail Join us as an Office Manager and become an essential part of a vibrant team dedicated to fostering an organized, welcoming, and productive workplace.
