The Role This hire is really important to the owners as you will be the person who keeps Mill City Laser running smoothly every single day — owning client operations, billing, staff, vendors, and the studio itself. Ownership will remain focused on marketing, growth, and community, and will be available as a resource, but the daily operation of the business will be yours . If you take pride in being the dependable backbone of a respected small business, this role is for you. What You Will Own Client experience: Manage the appointment calendar and scheduling, respond to client emails and texts promptly and warmly, and handle questions, rescheduling, and the occasional difficult conversation with professionalism. Billing & memberships: Oversee subscription billing and payments, resolve billing questions and disputes, manage memberships and promotions, and keep clean financial records for the owners. Records & compliance: Review client intake paperwork, maintain accurate treatment records, and ensure the team follows the medical protocols set with our medical director.
Team leadership:
Supervise and support a small team — scheduling, coverage, training, and being the go-to person in the building.
Facility standards:
Ensure the studio is in pristine, client-ready condition every single day. You will manage the cleaning crew, set the standard, inspect the space daily, and hold the crew accountable to it. Vendors & supplies: Manage supply ordering and inventory, and coordinate with our property management and service vendors.
Continuous improvement:
Spot what is inefficient and fix it. We have invested in modern tools and automation; you will use them daily and help us make them better. What We Are Looking For 2+ years managing a med spa, aesthetics or dermatology clinic, dental office, salon, or similar appointment-based service business (strongly preferred). Comfortable being the senior person on-site and making decisions independently. Strong with everyday software — scheduling systems, billing platforms, email, and spreadsheets — and a quick learner of new tools. Excellent communication and a calm, client-first demeanor. Highly organized, proactive, and trustworthy with money and confidential client information. Local, reliable, and able to work on-site full-time. It means you can speak the clinical language with clients and step in to cover a treatment in a pinch. Experience with Acuity Scheduling, Maxio/Chargify, or Google Workspace.
The Details Location:
On-site at our studio, 322 E Hennepin Ave, Minneapolis, MN 55414
Schedule:
Full-time, Monday-Friday, during our business hours (we can be flexible for the right person)
Compensation:
$50,000-$65,000/year depending on experience
Benefits:
