POSITION SUMMARY
The Office Manager for the Craigmiles School of Nursing (CSON) reports to the Director of the CSON. The position is full-time and offers benefits as outlined in the Employee Handbook. Employee must possess a vibrant, personal Christian faith including a clear testimony of Christian conversion and be actively involved in an evangelical, preferably Southern Baptist, church.
DUTIES AND RESPONSIBILITIES
General Responsibilities Meet HLGU and CSON Office Manager requirements in the areas of Qualifications, Service, and Project Management Support. Accept the mission and philosophy of HLGU and CSON. Act as a minister of the gospel of Jesus Christ; Partner with HLGU to guide students in growing intellectually and spiritually. Abide by all HLGU and CSON policies. Assist in maintaining HLGU contracts with healthcare agencies (e.g., Hannibal Regional Hospital and Blessing Health System) and other CSON agencies/partners. • Represent HLGU and CSON in a positive light when interacting with internal and external constituents. In concert with the Director of CSON and faculty, assist in the coordination and oversight of all major events of the CSON. Service Responsibilities in CSON's Routine Operations Maintain the calendar and official correspondence for the CSON. Work in concert with the Director of CSON to provide timely, ongoing communications to students, faculty, and internal/external constituents. Serve as a liaison between CSON and Support Services (e.g., Admissions, Financial Aid, Human Resource (HR), Purchasing, Food Service, Post Office, and Office of Computer Services). Work in coordination with the HLGU Admissions Office to guide prospective, applying, and admitted students through both the university and CSON application processes, ensuring timely progression at each stage. Maintain accurate, up-to-date tracking of all students throughout the application pipeline, and regularly report status updates to the CSON Director, Admissions Office, and Academic Administration Office to ensure no applicant is overlooked or lost in the process. Oversee ordering supplies, prepare purchase orders and requisitions, and maintain office inventory. Coordinate acquisition and maintenance of furnishings, equipment, supplies, phones, and keys. In concert with the Director CSON, oversees the reconciliation of monthly purchasing card charges; receive and send all invoices for payment. Supervise student/temporary staff employees, as well as volunteers. Assist in the marketing and recruitment operations of CSON; send welcome packets and timely communications to newly admitted students. Manage and maintain all CSON records and files. Oversee all student files including the creation, storage, maintenance, scanning, and proper disposing of hard copy files once student leaves the program; assist with photocopying materials as requested. Assist in collecting, organizing, and maintaining CSON data (e.g., SNA/NCF student memberships, uniform orders, student fees, student database information). • Evaluate effectiveness of administrative processes and procedures as directed by the Director of the CSON; recommend appropriate actions to improve administrative methods and processes. Serve as the Designated Emergency Management contact for the Carroll Science Center which houses CSON. Service Responsibilities to the Director of CSON Assist in maintaining the calendar, correspondence, and schedule for the Director of the CSON. Assist with travel arrangements, lodging, and transportation needs of the Director of the CSON. Assist in creating, editing, and/or distributing CSON documents and reports, as directed by the Director of CSON. Assist in the preparation of reports for Missouri State Board of Nursing (MSBN), Illinois Department of Financial & Professional Regulation (IDFPR), Workforce Innovation and Opportunity Act (WIOA), National Council of State Boards of Nursing (NCBSN), and all accreditation reports required by Higher Learning Commission (HLC), Accreditation Commission for Education in Nursing (ACEN), and the Commission on Collegiate Nursing Education (CCNE). Assist in all CSON evaluation processes, data storage and retrieval processes, and in tabulation and documentation of data. Assist the Director of CSON in tracking CSON budget. Assist in overseeing the hiring processes for full-time and adjunct faculty ensuring all processes are complete, meeting all HLGU, CSON, MSBN, IDFPR, and Nursys e-Notify requirements. Coordinate all relevant communications, campus visit(s), interview schedules, interview materials, meal planning, and send invitations for meetings/presentations for full-time and adjunct faculty candidates. In the absence of the Director of CSON, serve as a point person. Service Responsibilities to the CSON Faculty Update and maintain all official curricular documents, including electronic versions, used within the CSON (e.g., Curricular Plans of Study, Curricular Charts). Provide support in all CSON Standing Committees by scheduling meeting locations, taking and distributing minutes, organizing necessary communications to faculty and student representatives, and overseeing general meeting preparations. Support ongoing assistance to faculty related to office telephones, Office 365, Word, Excel, and other applications and systems. Responsibilities with Project Management Assist in maintaining/editing/updating the C SON Student Handbook, the C SON Faculty and Staff Handbook, the Systematic Evaluation Plan, and other CSON major documents. • Assist in managing the preparations and approval processes required for all planned CSON student trips, meeting all established university and CSON processes and related deadlines. • Assist in overseeing the processes for onboarding new faculty hires, ensuring all hiring processes are complete, meeting HLGU and CSON requirements. Manage all system operations required to initiate, maintain, and fully use the repository for generating meaningful data reports for ongoing improvement of program.

EDUCATION, EXPERIENCE, AND TRAINING
