Job Summary You will lead the recruitment, training, and management of clinic staff to ensure efficient operations. You will oversee inventory control, procurement, and financial processes to support smooth clinic functioning. Additionally, you will manage patient interactions and administrative tasks to deliver a seamless patient experience. Responsibilities Lead recruitment processes to hire clinic receptionists and dental assistants, ensuring alignment with clinic needs Develop and deliver training programs for staff on counter reception duties to enhance service quality Manage daily schedules and rostering for clinic receptionists, dental assistants, and dentists to optimize workforce utilization Conduct regular stock audits and coordinate with staff to maintain adequate inventory of office supplies, medical equipment, consumables, and medicines for uninterrupted clinic operations Source and purchase stock from approved suppliers while monitoring purchase costs to control clinic operational expenses Coordinate timely payments to vendors and suppliers to maintain positive business relationships Perform basic revenue and cost accounting to accurately track clinic financial transactions and manage petty cash effectively Calculate and reconcile GST input and output amounts, liaising with relevant parties to ensure compliance Respond promptly to patient inquiries regarding appointments and walk-in treatments to facilitate access to care Manage patient registration, discharge processes including medication dispensing, payment collection, issuance of medical certificates and receipts, and scheduling follow-up appointments Prepare and submit claims for CHAS treatments and insurance dental claims in accordance with clinic policies Maintain accurate records and file documents following the clinic's Standard Operating Procedures (SOPs) Enter sales data for dental products into Clinic Management software and manage laboratory case submissions and tracking Proactively contact patients to remind them of upcoming appointments to improve attendance rates Accurately update doctors' schedules in Clinic Management software to ensure operational efficiency Maintain cleanliness and organization of the clinic environment to uphold professional standards
