Job Description

Job Overview We are seeking an energetic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. This vital role involves overseeing daily office activities, managing communication systems, supporting staff, and maintaining a welcoming atmosphere for clients and visitors. The ideal candidate will be proactive, detail-oriented, and possess excellent multitasking skills to keep our office running efficiently and effectively. Duties Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Oversee calendar management and scheduling for executive staff and team meetings, ensuring all appointments are coordinated seamlessly. Maintain accurate records through data entry, filing, proofreading, and updating databases using tools like Microsoft Office and Google Workspace. Handle clerical tasks such as typing correspondence, managing invoices with QuickBooks, and performing basic bookkeeping duties. Support office management functions by organizing supplies, overseeing office equipment maintenance, and ensuring a clean and organized workspace. Provide exceptional customer service by assisting clients or visitors with inquiries and supporting internal teams with administrative needs. Manage office communication channels to ensure timely responses to emails, messages, and requests from staff or clients. Experience Proven experience in office management or administrative roles with a strong background in clerical support and customer service. Familiarity with multi-line phone systems, Google Workspace applications (such as Gmail, Calendar, Docs), and Microsoft Office Suite (Word, Excel, PowerPoint). Prior experience using QuickBooks for bookkeeping or invoicing is highly desirable. Bilingual abilities are a plus to effectively communicate with diverse clients and team members. Demonstrated organizational skills with the ability to prioritize tasks efficiently while managing multiple responsibilities simultaneously. Experience in healthcare or dental reception is advantageous but not required; a background in medical or dental office environments can be beneficial.
