Job Summary We are a private, single-owner dental practice seeking a highly capable leader to join our team as our permanent, full-time Office Manager working 32 hours per week. This position features an excellent schedule covering Monday, Tuesday, Thursday, and Friday, leaving Wednesdays and weekends completely off. This role is a direct replacement for our long-term manager who is retiring at the end of January, allowing for a thorough, well-paced transition and onboarding period alongside our existing front-desk team. In this role, you will lead our administrative operations by ensuring a smooth patient experience from check-in to check-out, optimizing multi-provider schedules, managing collections and insurance aging reports, and fostering a positive, efficient office culture. Direct, hands-on experience working the front desk in a dental office is strictly mandatory for this position, and candidates without a specific dental front-desk background will not be considered. We highly prefer individuals who have previously operated as a Dental Office Manager and possess a deep, practical understanding of dental insurance coding, claims submission, and
HIPAA/OSHA
compliance. You must be fully proficient with standard dental practice management software (such as Eaglesoft or Dentrix) and feel completely confident managing daily front-office workflows. Responsibilities Lead and supervise administrative staff, dental assistants, and clinical support teams to ensure high performance and cohesive teamwork Oversee fiscal management including budgeting, financial reporting, billing processes, and insurance claims using systems such as Eaglesoft and Dentrix Manage medical records and electronic health records (EHR) systems while ensuring compliance with HIPAA and other health regulation policies Coordinate daily office operations including appointment scheduling, patient check-in/out procedures, and medical administrative support Monitor practice performance metrics, implement process improvements, and ensure adherence to healthcare management standards. Facilitate human resources functions including staff hiring, training, performance evaluations, and conflict resolution Maintain knowledge of healthcare policies related to managed care, utilization management, and hospital or clinic accreditation standards Requirements Proven experience in medical office management within dental or healthcare settings; clinic experience preferred Strong supervisory skills with experience managing teams as a healthcare practice manager Proficiency in EMR/EHR systems such as Eaglesoft and dentrix, familiarity with electronic health records management is essential Knowledge of medical terminology, medical records management, and healthcare regulations including HIPAA compliance Demonstrated fiscal management expertise including budgeting and financial oversight in a healthcare environment Excellent organizational skills with the ability to multitask effectively in a fast-paced setting Strong communication skills coupled with leadership qualities to motivate staff and enhance patient satisfaction Join our team to lead a vibrant dental practice where your expertise will directly impact patient care quality while fostering an efficient and welcoming office environment.
