This is not a position for someone who simply maintains the schedule, answers questions, and keeps the office afloat. We're looking for a modern dental leader who sees what needs to happen, creates a plan, and follows it through to completion. You understand that an excellent dental office is both a healthcare practice and a business. You know how to coach a team, improve treatment acceptance, strengthen collections, manage insurance and A/R, and create an exceptional patient experience. You're also digitally fearless. What You'll Own Leadership and Team Performance Lead the daily operations of the office with confidence, consistency, and urgency Create a positive, accountable, high-performance team culture Lead morning huddles and ensure the team is prepared for the day Coach team members in communication, patient experience, sales, and follow-through Set clear expectations and address performance concerns directly Conduct regular one-on-one meetings, provide feedback, and support employee development Coordinate onboarding, training, and ongoing competency Ensure policies, workflows, and checklists are followed consistently Recognize strong performance while holding the team accountable when standards aren't met Sales and Practice Growth Drive treatment acceptance and help patients move confidently forward with care Coach the team on presenting value, discussing finances, and overcoming patient concerns Monitor presented treatment, accepted treatment, unscheduled treatment, and follow-up Ensure every patient receives timely and consistent follow-up Improve new-patient conversion, schedule utilization, reactivation, retention, and referrals Identify missed opportunities and take action before they become lost revenue Support practice growth without sacrificing the patient experience Insurance, Collections, and Accounts Receivable Maintain strong working knowledge of dental insurance, claims, adjustments, denials, and benefits Monitor insurance and patient A/R, including aging trends and balances over 90 days Ensure claims, attachments, narratives, and supporting documentation are accurate Oversee insurance follow-up and hold outside billing partners accountable Review payment posting, adjustments, outstanding claims, patient balances, and payment requests Identify recurring breakdowns and correct the underlying process Ensure patient accounts are documented accurately and consistently Protect collections while maintaining a respectful, solutions-focused patient experience Scheduling and Operational Excellence Maintain a productive, intentional schedule for doctors and hygiene Monitor open time, provider capacity, production goals, and scheduling opportunities Ensure the team responds quickly to cancellations and schedule gaps Coordinate provider, hygiene, specialty, and surgical workflows Keep the office organized and ensure important tasks are completed on time Create clear systems when a process is missing or inconsistent Anticipate operational issues and solve them before they disrupt the office Communicate priorities, ownership, and deadlines clearly Data, Technology, and AI Use KPIs, dashboards, and reports to guide decisions and priorities Track production, collections, treatment acceptance, A/R, schedule utilization, patient retention, and team performance Turn data into clear action plans—not just reports Lead the team's adoption of new systems and workflows Embrace AI, automation, and digital tools that improve efficiency and the patient experience Maintain accurate information within Open Dental and other connected platforms Partner with leadership and vendors to resolve system or workflow issues Look continuously for smarter, faster, and more reliable ways to operate What Success Looks Like A successful Office Manager at
