Radiance Integrative Health & Wellness is seeking an experienced Medical Office Manager for our small nonprofit integrative health clinic in Portland. We need someone who brings structure, focus, and follow-through to a collaborative clinical environment. The right person can identify priorities, create practical systems, communicate directly, and keep work moving without needing constant direction. They should also be warm and professional with clients, including those who may be navigating stressful or sensitive circumstances.
Pay:
$30-35/hour
DOE Schedule:
Approximately 40 hours per week Responsibilities Client and Front-Office Support Respond to calls, emails, and new-client inquiries Schedule appointments and provide patient portal support Complete initial screenings and verify required paperwork Check insurance benefits Greet clients and collect payments and copays Assist clients with income-based adjusted-fee applications Send assessments such as the PHQ-9 and GAD-7 as requested Medical Office Administration Verify insurance and assist with prior authorizations Monitor/send electronic faxes; upload and route documents Process releases of information and medical-record requests Communicate with providers, pharmacies, insurers, and outside organizations Access outside medical systems (Legacy, OHSU, etc.) to obtain records Administer and support AdvancedMD, including building and editing templates Meet with providers weekly and ensure decisions and follow-up items are completed Clinic Operations Maintain clear, organized office procedures and workflows Order supplies and coordinate facility maintenance Maintain the clinic's tea and amenity station Prepare presentations and other materials Manage basic social media activities Complete special projects and other administrative duties as needed Qualifications At least five years of medical-office administration or management experience, preferably in a small independent practice Experience with insurance verification, prior authorizations, medical records, and HIPAA requirements Strong organizational skills and attention to detail Ability to prioritize independently and follow tasks through to completion Direct, clear, and professional verbal and written communication Confidence establishing procedures, addressing problems, tracking progress and following up with others regarding information or decisions needed to complete tasks Comfort learning and troubleshooting electronic systems Ability to be compassionate while maintaining appropriate boundaries with clients AdvancedMD experience is preferred Experience in behavioral health, integrative healthcare, and/or nonprofit settings is a plus Radiance provides integrative healthcare and mental-health services in an inclusive, affirming environment.
