Job Description

Job Summary We are seeking a dynamic and organized Office Manager / Administrative Coordinator to lead our administrative operations and ensure the smooth functioning of our office environment. This role is vital in coordinating daily administrative tasks, managing office procedures, supervising support staff, and supporting various organizational initiatives. The ideal candidate will bring energy, exceptional communication skills, and a proactive approach to streamline processes, foster team collaboration, and maintain an efficient workplace. Duties Oversee daily office operations, including front desk management, multi-line phone systems, and visitor coordination Manage schedule planning and calendar management for leadership and team members to optimize productivity Coordinate vendor relationships, including procurement, service agreements, and supply management using tools like QuickBooks or similar accounting software Handle bookkeeping tasks such as invoicing, expense tracking, payroll processing, and budgeting support Maintain accurate filing systems—both physical and digital—and ensure confidentiality of sensitive information Support human resources functions including onboarding new employees, managing HR documentation, and assisting with employee relations Assist in medical office management responsibilities if applicable, ensuring compliance with healthcare regulations Experience Proven experience in office management or administrative coordination roles with a focus on organization and multitasking Proficiency with QuickBooks or comparable accounting software for bookkeeping and payroll functions Strong skills in schedule management, calendar coordination, and multi-tasking in fast-paced settings Experience in vendor management—negotiating contracts and maintaining supplier relationships Excellent communication skills—both verbal and written—with excellent phone etiquette
