Job Description
About the Practice We are a newly launching, physician-led office-based vascular practice in Garden Grove, founded by a board-certified vascular and interventional specialist. Our focus is diagnostic vascular ultrasound, non-invasive vascular testing (carotid, AAA, arterial and venous duplex, ABI/PAD screening), and minimally invasive treatment of venous insufficiency. As a ground-floor team member, you'll help build our clinical and administrative operations from the start — with real opportunity to grow into a senior operations role as we expand across Southern California. The Role This is a hybrid Medical Assistant / Office Manager position for someone who can wear two hats: hands-on clinical support in the office and administrative/operational management that can be handled both on-site and remotely. We anticipate a mix of in-office and remote days each week (roughly 2-4 days on-site, adjustable based on clinic schedule and patient volume). The ideal candidate has direct vascular practice experience and is comfortable in a startup environment where processes are still being built.
Clinical / Medical
Assistant Responsibilities Room patients, take vitals, document chief complaints, and prepare patients for vascular evaluations and procedures Assist the physician with non-invasive vascular testing and in-office procedures (e.g., venous ablation/sclerotherapy support) Familiarity with vascular conditions and terminology — PAD, carotid disease, AAA, chronic venous insufficiency Maintain clinical documentation accurately in the EMR (we use Office Ally) Manage clinical supplies, instrument cleaning, and room turnover Support infection-control and OSHA safety protocols Front Office / Administrative Responsibilities Patient scheduling, registration, and intake Insurance verification and prior authorizations (primarily Medicare, plus commercial payers) Answer phones, manage patient communications, and coordinate follow-ups Collect co-pays, self-pay agreements, and manage front-desk workflow Office Management Responsibilities Oversee day-to-day clinic operations and patient flow Help develop and maintain office policies, scheduling, and staff coordination Support billing coordination with our billing team/clearinghouse Maintain HIPAA compliance and patient-record security Assist with vendor relationships, supply ordering, and facility needs Contribute to building operational systems and standard workflows as we scale Required Qualifications Prior experience in a vascular, cardiovascular, or vascular surgery practice (required) Current Medical Assistant certification (CCMA, CMA, RMA, or equivalent) 2+ years in a clinical medical office setting Working knowledge of EMR systems and insurance/authorization processes Strong organizational, communication, and multitasking skills Reliable, self-directed, and comfortable working independently on remote days Authorized to work in the U.S. Preferred Qualifications Experience in a startup or new-practice environment Familiarity with Office Ally Exposure to non-invasive vascular testing / familiarity with RVT or sonography workflows Prior office manager, lead MA, or front-office supervisory experience Bilingual (English/Spanish or English/Vietnamese — both common in our Garden Grove community) Knowledge of Medicare billing and ABN/self-pay processes What We Offer Ground-floor role with significant growth potential as we expand to LA and Newport Beach Hybrid flexibility with a mix of remote and in-office work Benefits package (coming soon)
