Medical Office Manager Grounded Practice Therapy | St.
Augustine, FL Pay:
$20-23/hour (based on experience) + uncapped performance bonuses Grounded Practice Therapy is a growing outpatient mental health practice dedicated to helping individuals, couples, and families improve their lives through compassionate, evidence-based care. We're looking for an organized, personable, and motivated Medical Office Manager to become a key member of our team. This is more than a traditional administrative position. You'll be responsible for ensuring our office runs smoothly while serving as the first point of contact for prospective clients. You'll help individuals take the first step toward therapy, support our clinicians, and play an important role in the continued growth of our practice.   • $20-23 per hour, depending on experience
  • Uncapped monthly performance bonuses. Most successful candidates earn an additional $500-$1,000+ per month.
  • Two weeks of paid vacation after successful completion of a 90-day introductory period

  • Serve as the first point of contact for prospective clients via phone, email, and text.
  • Build rapport with individuals seeking therapy and guide them through the intake process with warmth and professionalism.
  • Match clients with the clinician who best fits their needs.
  • Follow up with prospective clients to help them begin services.
  • Help maximize clinician schedules by converting inquiries into appointments and reducing scheduling gaps.
  • Deliver an exceptional client experience from first contact through ongoing care. Office Operations
  • Manage the day-to-day administrative operations of the practice.
  • Coordinate clinician schedules and appointment availability.
  • Maintain accurate client records while ensuring HIPAA compliance.
  • Assist with insurance coordination, referrals, billing communication, and administrative support.
  • Oversee office supplies, vendors, and general facility needs.
  • Help improve office systems and workflows to increase efficiency.
  • Assist with onboarding new clinicians and administrative staff.
  • Support the practice owner with operational projects and strategic initiatives. Qualifications
  • Previous experience in medical office management, healthcare administration, or office management required.
  • Experience working in a mental health or behavioral health practice is strongly preferred.
  • Outstanding customer service and communication skills.
  • Comfortable speaking with prospective clients and helping them confidently begin therapy services.
  • Highly organized with excellent attention to detail.
  • Able to prioritize multiple responsibilities in a fast-paced environment.
  • Comfortable learning and using electronic health record (EHR) systems and other office technology.
  • Self-motivated, dependable, and proactive with strong problem-solving skills.

Pay:
$20.00 - $23.00 per hour
