This position supervises front-desk employees, coordinates patient scheduling and registration, monitors collections, and works closely with clinical staff and practice management to maintain an organized and productive workflow. Essential Duties and ResponsibilitiesFront-Desk Operations Oversee all daily front-desk activities, including patient check-in, check-out, registration, scheduling, and telephone coverage. Ensure patients are greeted promptly and treated professionally and respectfully. Monitor patient flow and communicate delays or scheduling concerns to patients and clinical staff. Ensure the reception area and front-office workspaces remain clean, organized, and professional. Address and resolve patient concerns, escalating significant matters to the Practice Administrator when necessary. Ensure messages, medical record requests, forms, and other patient communications are properly documented and routed. Staff Supervision Supervise, train, coach, and support front-desk employees. Coordinate daily staff assignments and ensure adequate coverage of all front-office responsibilities. Monitor employee attendance, punctuality, productivity, professionalism, and compliance with practice policies. Provide ongoing feedback and address performance or conduct concerns promptly. Assist with employee evaluations, corrective actions, and front-desk staff meetings. Promote teamwork and effective communication between front-desk, scheduling, clinical, billing, and management staff. Scheduling and Patient Access Oversee provider schedules to ensure appointments are scheduled correctly and according to practice guidelines. Monitor appointment availability, cancellations, rescheduling, no-shows, and waitlists. Ensure staff follow established protocols regarding new patients, follow-up appointments, procedures, urgent appointments, and overbooking. Identify scheduling problems and work with the Practice Administrator and clinical team to improve patient access and workflow. Confirm required referrals, authorizations, and supporting documentation are obtained or appropriately routed before appointments. Registration and Insurance Verification Ensure patient demographic, insurance, referral, and contact information is accurate and updated at every visit. Monitor insurance eligibility verification and ensure coverage issues are addressed before or at the time of service. Ensure required identification, insurance cards, consent forms, and patient documents are obtained and properly entered into the electronic medical record. Review front-desk work for accuracy and correct registration or documentation errors. Collections and Financial Responsibilities Ensure copayments, deductibles, outstanding patient balances, and other amounts due are collected according to practice policy. Monitor daily front-desk collections and ensure payments are accurately posted and reconciled. Review end-of-day reports, payment records, and deposit information for accuracy. Coach staff on communicating financial responsibilities to patients professionally and consistently. Report collection discrepancies, payment concerns, or recurring issues to the Practice Administrator. Compliance and Confidentiality Ensure compliance with HIPAA, OSHA, practice policies, and applicable healthcare regulations. Protect patient privacy and maintain the confidentiality of patient, employee, and practice information. Ensure conversations involving protected health information are handled discreetly. Report privacy concerns, safety issues, patient incidents, or policy violations promptly. Maintain accurate records and documentation in accordance with practice procedures. Administrative Support Track front-desk performance measures, including call response, scheduling accuracy, registration errors, collections, and patient concerns. Assist with developing and improving front-office policies, procedures, scripts, and workflows. Participate in management and staff meetings as required. Communicate operational concerns, staffing needs, and unresolved issues to the Practice Administrator promptly. Assist with interviewing, onboarding, and training new front-desk employees. Perform front-desk duties when necessary to support staffing coverage and patient care. Complete other duties as assigned by the Practice Administrator or physician leadership. Required Qualifications High school diploma or equivalent required. Minimum of two years of medical front-office management experience required. Experience with patient scheduling, insurance verification, registration, collections, and electronic medical record systems. Working knowledge of HIPAA and patient confidentiality requirements. Strong leadership, communication, organizational, and problem-solving skills. Ability to manage multiple priorities in a fast-paced medical environment. Ability to handle difficult or sensitive patient and employee situations professionally. Proficiency with computers, office equipment, electronic medical records, and standard office software. Bilingual English and Spanish required. Performance Expectations The Front Desk Manager is expected to maintain a professional and patient-focused front office, hold staff accountable, communicate problems promptly, and ensure front-desk responsibilities are completed accurately and efficiently. Success in this position is measured by staff performance, scheduling accuracy, collection results, patient service, regulatory compliance, and the overall effectiveness of front-office operations.
