The ideal candidate will possess strong technical skills, exceptional organizational abilities, and a proactive attitude to keep our office running at peak productivity. This role offers an exciting opportunity to be at the heart of our team, supporting both administrative excellence and excellent customer service. Duties Oversee daily office operations, including managing supplies, equipment, and facilities to ensure a well-functioning workspace Coordinate calendar management and scheduling for meetings, appointments, and events using productivity software such as Microsoft Office and quickbooks Handle front desk responsibilities including greeting visitors, answering multi-line phone systems with professionalism, and directing calls with proper phone etiquette Maintain accurate data entry records, manage filing systems, and perform clerical tasks such as proofreading documents and preparing correspondence Manage bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping using QuickBooks or similar software Support client communication efforts by providing excellent customer service via phone, email, or in person; assist with client inquiries and support needs Organize and maintain office documentation, spreadsheets, and reports to ensure easy access and data integrity Qualifications Proven experience in office management or administrative roles with strong organizational skills and attention to detail Experience Microsoft Office Suite (Word, Excel, Outlook) Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent computer literacy including data entry, file management, and technical proficiency in office tools Strong communication skills with the ability to handle multi-line phone systems and provide exceptional customer support Bilingual abilities are a plus for effective client communication in diverse environments Previous experience as a receptionist (medical or dental), personal assistant, or in clerical roles is beneficial Demonstrated ability to manage calendars efficiently while prioritizing tasks effectively Knowledge of office procedures such as filing, proofreading, typing accuracy, and time management techniques Join us as an Office Manager to lead our administrative team with energy and precision!
