Job Description

Job Summary LifeSmiles Dental is seeking an experienced, energetic, and results-driven Dental Office Manager to lead the daily operations of our growing private dental practice. This leadership role is responsible for overseeing office operations, managing staff, optimizing patient flow, improving collections and treatment acceptance, and ensuring an exceptional patient experience. We are looking for someone who is passionate about dentistry, possesses strong leadership skills, and has a proven history of successfully managing a high-performing dental office. Applicants must have a minimum of 5 years of Dental Office Manager experience. Candidates without this experience will not be considered. Responsibilities Oversee all daily operations of the dental practice to ensure efficiency and exceptional patient care. Manage front office and administrative staff while fostering a positive, accountable, and team-oriented culture. Coordinate scheduling to maximize provider productivity and patient satisfaction. Monitor key performance indicators (KPIs), including production, collections, accounts receivable, treatment acceptance, and schedule efficiency. Oversee insurance verification, claim submission, payment posting, billing, and collections. Prepare financial reports, monitor office expenses, and assist with budgeting and revenue growth. Recruit, train, coach, and evaluate team members while promoting professional development. Ensure compliance with HIPAA, OSHA, Texas State Board of Dental Examiners (TSBDE) regulations, and office policies. Manage patient concerns professionally and maintain outstanding customer service standards. Oversee inventory management, ordering supplies, and vendor relationships. Work closely with the dentist to implement systems that improve office efficiency, profitability, and patient satisfaction. Maintain accurate patient records and ensure proper documentation using Open Dental software. QualificationsRequired Minimum 5 years of Dental Office Manager experience (Required) Proven leadership experience managing a successful dental practice. Strong knowledge of dental insurance, PPO plans, billing, treatment planning, and collections. Extensive experience using Open Dental practice management software. Excellent understanding of accounts receivable, insurance claims, and revenue cycle management. Thorough knowledge of HIPAA, OSHA, and TSBDE regulations. Exceptional communication, organizational, and problem-solving skills. Ability to lead, motivate, and hold team members accountable. Strong computer skills and proficiency with Microsoft Office and Google Workspace. Preferred Experience in a multi-provider dental practice. Knowledge of dental marketing and practice growth strategies. Bilingual (English/Spanish/Arabic/Farsi) is a plus but not required.
